Permission Roles
Staff may be assigned to one of five default permission roles, each of which grants specific levels of access and functionality within WaitWell on a per-location basis. Org Admins may add and remove default role permissions and create an unlimited number of custom permission roles. Any permission role may be assigned at any location.
Please note, we significantly overhauled the Permission Roles page on 2/09/2026. If you have noticed new permission roles with numbers appended to their names, such as Agent - 12 or Manager - 4, read this article.
Configure Permission Roles
Select the "CONFIGURE" button under the Permission Roles section
Choose the role for which you'd like to view or edit permissions from the dropdown at the top of the page. You can rename this role by selecting the pencil icon, or delete it by selecting the trash can icon. You may also select the "NEW ROLE" button to create a new role.
Add or remove desired permissions for the role by checking or unchecking boxes on the page
Data Privacy
For additional protection of customer information, the following settings may be enbaled:
Staff without access to this location cannot see this location's ticket history
Ignore the state of the "Remember Me" checkbox on the customer site. If customers check it, they will still not be remembered
When a ticket is closed, the email address, phone number, and last name on the ticket is permanently erased from WaitWell servers
Multi-Factor Authentication
Force users to enter a verification code, sent to them via email, in addition to their password when signing in to WaitWell.
IP Address Whitelist
Manage a whitelist of IP addresses that may access WaitWell and deny all other devices access.
Staff Form Custom Fields
Create optional custom information fields for staff profiles in addition to the defaults such as positions or ID numbers.
