How do I set up automated invoices?

Bill a client automatically every week, two weeks or month.

Here's how to set up automated invoices, so a client is billed every week, two weeks or month without you doing anything. Automated invoices are part of Walkies Pro and Max.

Set up automated invoices

  1. Tap Invoices, then the + button. On iPad, the + is at the top of the invoice list.

  2. Choose Automated.

  3. Choose the client. You can choose more than one, and each gets their own schedule. Tap Next.

  4. Under Direction, choose Past to bill appointments that have happened, or Upcoming to bill the ones ahead.

  5. Under Schedule, choose Weekly, Biweekly or Monthly, then the day.

  6. Tap Time to change when it's created. It's 9:00 AM to start with.

  7. Check Next invoice will be created. Tap it to choose a different first date.

  8. Under Payment info, check the Payment method and Due date.

  9. Tap the ✓ to save. It's listed under Invoices > Automated.

What each invoice includes

  • Your client's confirmed appointments in the period, for the pets on the schedule.

  • Monthly means the first of your chosen weekday each month, like the first Friday.

  • Past covers the time since the last invoice. The first one goes back one period. Upcoming covers the period ahead.

  • Only appointments set to No invoice are included. Appointments set to invoice When booked or When started bill themselves, so they're skipped.

  • Anything already on an invoice is skipped, so nothing is billed twice.

  • If there's nothing to bill, no invoice is made, and the schedule moves on.

  • Each invoice is sent to your client like any other. Automated invoices don't have deposits.

Pause, change or stop

  • Tap it under Invoices > Automated to change the client's pets, schedule, payment method or due date.

  • Tap ... to Pause, Resume or Delete it. You can also press and hold it in the list.

  • Setting a client up sets their Preferred billing to Recurring, so their new appointments won't create invoices of their own.

  • If your plan no longer includes automated invoices, they're paused and nothing is created.
