Walkies has several ways to invoice. Some you do yourself, and some Walkies does for you. Here's what each one is for.
Invoices Walkies creates for you
When booked: set on the appointment. One invoice is created as you book it, covering every date, including repeats. Best for paying up front, like boarding or a block of walks. See How do I invoice an appointment when I book it?
When started: set on the appointment. An invoice is created for each visit as you start it, so nothing is billed for visits that don't happen. Best for pay-as-you-go clients. See How do I invoice an appointment when it starts?
Automated: a weekly, biweekly or monthly invoice for each client, covering their appointments that aren't invoiced yet. Best for regular clients who pay on account. Needs Pro or Max. See How do I set up automated invoices?
Invoices you create
All of a client's appointments: turn on Autopopulate to fill an invoice from their appointments between two dates, like last week's walks. See How do I add an invoice?
One appointment: open it and choose ... > Create invoice. It's filled in for you. See How do I invoice an appointment?
A one-off charge: add the services yourself, for anything that isn't on your calendar. See How do I invoice a one-off charge?
Already paid: create a receipt, which is saved as paid. See How do I create a receipt?
Combine invoices: turn several unpaid invoices for one client into a single invoice, from the select button at the top of Invoices.
Setting a default
Go to Menu > Invoices > Preferred billing and choose No invoice, When booked or When started. New appointments start with it.
A client can have their own Preferred billing, on their profile, which comes first.
Each appointment keeps the type it was booked with. Changing the default doesn't change appointments you've already booked.
If you haven't set a default, the first appointment you book with When booked or When started sets it for you.
Avoid billing twice
Autopopulate includes every confirmed appointment in the dates you choose, even ones already on an invoice. Check the list before you save.
Automated invoices skip anything already invoiced, and appointments set to When booked or When started.
When started won't bill a visit that's already on an invoice made from the appointment, with Autopopulate or by automated invoices. An invoice you made by adding services yourself isn't linked to the appointment, so it can be billed again.
What you can add to an invoice
Discount, travel and tips: see How do I add a discount, travel or a tip to an invoice?
Surcharges: extra charges for busy times, like weekends or holidays, added to matching bookings automatically. See How do I add a surcharge?
Deposits: ask for part of the invoice up front. See How do I take a deposit?
Credit: give a client credit, then use it on their invoices. See How do I give a client credit?
Every invoice
Walkies sends each invoice to your client for you, by email, the Walkies Journal app, and SMS or WhatsApp on Pro, depending on their settings.
Set your due date offset, deposit, tax and payment details in Menu > Invoices.
Send a reminder any time. On Walkies Max, Walkies can send reminders automatically after the due date. See How do I send an invoice reminder?
Share a link to the invoice, or export it as a PDF with your logo. See How do I share or export an invoice as a PDF?
Invoices are in your company's currency, set in Menu > Company region.
Only admins and sub-admins can see and create invoices. Team members can't see invoices or prices.
