How do I set my invoice defaults?

Set due dates, tax, deposits, reminders and how appointments are invoiced.

Here's how to set your invoice defaults, like the due date, tax, deposits and how appointments are invoiced.

Open invoice settings

  1. Tap the menu button on Home. On iPad, it's in the sidebar.

  2. Under Company, tap Invoices.

  3. Change what you need, and tap the ✓ to save.

The settings

  • Preferred payment method: used for new invoices when a client hasn't got their own.

  • Preferred billing: how new appointments are invoiced: No invoice, When booked or When started. See Which way of invoicing should I use?

  • Invoice reminders: Send reminders chases unpaid invoices automatically after their due date. Needs Walkies Max.

  • Service tax %: added to services and surcharges on your invoices.

  • Deposit %: a deposit added to new invoices. See How do I take a deposit?

  • Due date offset: how many days after the service date (or the day you create it, for invoices you make yourself) an invoice is due. It's 7 if you leave it blank.

  • Deposit due date offset: how many days after an invoice is raised its deposit is due.

  • PayPal, Venmo, Cash App, Zelle, Check and bank details: how clients can pay you. See How do I add my payment details?

Good to know

  • Changes apply to new invoices and appointments, not ones you've already made.

  • Only admins and sub-admins can change invoice settings.
