Appointments Widget

Clients can book appointments via the appointment widget. Keep in mind that (currently) this is the only way clients can book an appointment. We will go over the appointment booking experience, important things to know about booking appointments like limitations, capabilities, and things to keep in mind about how appointment bookings work with Walla so you and your clients know what to expect!

Appointments Widget for client booking

You will need to embed your appointments widget into your website or you can share a link to the appointments widget so your clients can book their own appointments. To access the Appointment Widget follow these steps:

  1. Select your profile icon and choose Business Settings

  2. Scroll down and select App and Widget Settings

  3. Select Widget Codes

  4. Copy the code and embed the code into your website or select the green copy icon next to the word Appointments

Appointments can only be booked via the Appointments Widget. Appointments are currently not bookable via the Walla App.

Widget Booking Experience

There are a couple of very important things to know about the Appointments Widget. The Appointments Widget, just like the Courses and VOD Widgets, is not found on the main navigation menu. You must add a link to or embed the Appointments Widget directly in to your website in order for clients to access it for booking. Booking on the Appointments Widget does not look at room availability. When a client books an appointment, a room is not assigned and will need to be assigned by a staff member. This also means that there can be more appointments booked than rooms available.

Clients can not book appointments for other clients nor can they pay for another client's appointment.

How clients book an appointment

Step 1: Your client will choose a location, instructor, appointment category, appointment type, and time.

The below Appointment Categories are set up under the Appointment Details section when creating an appointment:

Step 2: After choosing an appointment category clients can view appointment details and choose their appointment type.

Step 3: An appointment date and time is selected. Dates and times are reflected in your studio's timezone. This is not a setting but is preset.

Clients can not book recurring appointments.

Step 4: Checkout review displays the appointment details including the appointment price, tax, and the required deposit amount.

Get new plan or credits

If you have appointment plans set up or if your client has a pre-paid appointment plan, your client can purchase a plan or apply their pre-paid plan here. Selecting Buy new plan will take your client to the Appointment Plans Widget. It is important to note that before being presented with plans to purchase a location must be selected. After selecting a location, all appointment plans will display whether or not they can pay for the appointment selected on the previous screen. After purchasing a plan, the appointment booking process must be repeated. The client will navigate back to the Appointment Widget to selecting a location and complete the booking process. Currently, the after purchase page does not take the client to the appointment selected prior to purchasing the plan.

After completing the appointment details again, on the checkout screen the recently purchase plan will appear as an option. If the plan is not an option, it could mean the client purchased a plan that does not pay for the appointment they are wanting to book. Or, if the client selected a future start date for the appointment plan that occurs after the date of the appointment they are trying to book, the appointment plan will not be an option.

If a plan is selected, the appointment checkout screen displays what the client would have paid if they were to buy a single session. It is important to remember that bookings made with appointment plans will not pay a deposit at checkout.

Buy drop-in with credit card or mobile wallet

If your appointment has a deposit, then the client will pay the appointment deposit at checkout. Clients can use their account credit or a gift card towards their purchase of a deposit. Promo codes are not applied at this point of their appointment checkout experience but can be applied to plan purchases upon checkout on the widget.

After booking, your client will be presented with an appointment purchase confirmation page that includes their appointment details. Currently, only classes have the Add to calendar function, appointments do not.

When a client purchases an appointment pack on the widget the appointment still needs to be settled up (our term for checked out). For example, if a client purchased an appointment 3 pack then booked an appointment, until the session is settled up or if the client has not booked the third appointment, the client's appointment pack will still show 3/3 remaining. After the final appointment is booked, the plan will become inactive.
