Plan Start and Expiration Date Booking Rules

When clients purchase a plan, the plan's start date, expiration date, and first payment due date can impact when and how the plan can be used to book classes. This article explains the key scenarios and booking rules to be aware of.


Plan Start Date Scenarios

Scenario 1: Plan Starts Immediately

  • Plan Starts On: Immediately on checkout, unless an alternate future date is selected

  • First Payment Due: Immediately upon checkout

If a client selects a future start date, the first booked class will activate the plan on that date. Once activated:

  • Staff can book the client into classes before the plan start date, but the start/expiration dates won't automatically adjust. Staff can manually edit the start date if needed.

  • Clients cannot book classes before the plan start date themselves.

With a future start date, both staff and clients can book classes between the plan start and expiration dates. Since the plan is pre-paid, staff have more flexibility to make changes.


Scenario 2: Plan Starts on Selected Date

  • Plan Starts On: Immediately on checkout, unless an alternate future date is selected

  • First Payment Due: On plan start date

In this case:

  • Staff cannot book clients until the plan begins and payment is collected.

  • Staff can edit the start date to an earlier date if needed, but no sooner than the next day.

  • Clients cannot book classes or be charged until the plan begins.

The plan is not pre-paid, so staff have less flexibility to prevent unpaid visits.


Scenario 3: Plan Starts on First Visit

  • Plan Starts On: Date of first visit

  • First Payment Due: Immediately upon checkout

The first class booked activates the plan. Once activated:

  • Staff can book classes before the plan start date, but start/expiration dates won't automatically adjust. Staff can manually change the expiration or next payment dates if needed.

  • Clients cannot book classes before the plan start date.

Staff and clients can book classes between the activated start and expiration dates. The plan is pre-paid so staff have more control to adjust as needed.


Other Booking Rules

Failed Payments

If a client's payment fails, their plan cannot be used to book classes until updated. The plan will be grayed out with an error message. Clients can update their payment method via the widget, or staff can add a new card to process payment.

Pre-Activated Plans

If a plan set to start on first visit has already been activated for a future date, clients cannot book classes before that date. Staff can override this but would need to manually adjust expiration and payment dates.

Plans Starting on First Payment

For plans that start on first payment, the start date is locked in once the first visit is booked, even if canceled. Clients cannot book classes before that date. If a future date is chosen, the plan remains pending until then.
