How to use the tenders tool

You can extract rates and data with the tenders tool. Add multiple lanes within the tender for international exporters to negotiate prices.

Using WebCargo’s tenders tool you can extract large amounts of rates and data, with the possibility to add multiple lanes within the tender for international exporters. Extracting this data can help you negotiate a better price with your customer.

Important: this feature is only available for Enterprise or multinational account holders with admin or super admin status.

Find out in this article how you can use the tenders tool.

To create a tender, first go to the Tools tab and then click on Tenders. Click on the + symbol in order to start.

After clicking on the + symbol, you can begin adding all the parameters to the format of your tender.

General tab

The first tab you will come across is the General tab, where you can add basic information about your client. If you have already created the customer it applies to, you can enter the name and select it from the Customer dropdown.

Next, choose (if necessary) any extra columns that should be included in the downloadable Excel file and finally, any profits per weight breaks that should be applied.

For the profit per weight breaks, tick the boxes you want included then enter the profit either per KG or as a percentage.

Airlines tab

Next, you can enter any rules for airlines that should be applied for this particular tender. Within the download options dropdown, select whether you want to see all available airlines or the cheapest airlines (1-5 cheapest) per lane.

You can also choose to enter airlines that should be included or excluded by entering their prefix and selecting them from the dropdown. The airline abbreviation will show on the lists.

If you have created specific rules for preferred airlines and you want this to apply for the tender you can select it from the Airlines section.

Origins and destination tab

Within the origins and destination tab, you can use the fields in three ways to identify origin and destination pairs.

Origin region/Destination region: you can create your own regions inside of the system and identify these as the origin and destination regions that this tender should be relevant for.

From/Destinations: to set specific origins and destinations, use the specific airport codes for From (Origin) and Destinations. For example, using the following prefixes and format JFK,LAX,SHA. Make sure you do not add spaces after the commas.

Routes: if you have specific routes that this tender should be valid for, you can enter them in the Routes section. Make sure to enter each route with the airport prefix, separated by a dash with each different route on a separate line.

Rates and products tab

In the Rates and products tab, you can select which rates this tender should apply to (Market, Promo, Contract etc) and if there are specific products it should include.

Email for notifications tab

You can choose when you want to be notified whenever a new tender is created or edited through the Email for notifications tab.

Once you have entered all of the information click on Save. This will then add the tender to your list, which can be found in Tools and then Tenders. Allow a couple of moments for the system to collect the data from the WebCargo system.

Once loaded, you’ll be able to see key pieces of information for what the Excel download contains, such as the name, the user creating, the creation date, last download and how many rows the tenders tool has within the downloadable Excel file.

The rows section shows how many routes with rates are available for the information you have entered.

Click on the Excel symbol to download the list of available routes and rates for the tender. Within the file, you’ll find origin and destination information, airline routes, the price per weight break and the validity of the rates shown as well as any other remarks.

Editing, deleting, and viewing activity log

By clicking on the three dots to the right of the tender, you can view the history of the changes made for that specific tender. Click on History to see these.

Click Edit to make any changes to the tender such as adding more products, more routes and more. Then click Save each time. You’ll receive an email every time a change is made with the new tender Excel.

Finally, to delete any tenders, click on the red rubbish can. Be careful as once this has been clicked, it will be immediately deleted.
