How to Use the Non-IATA Version on WebCargo

If you're a non-IATA forwarder, you now have access to the WebCargo platform to quote, book, and more.

If you’re a non-IATA freight forwarder, you can now easily manage air freight rates and quotes without an IATA number using a new configuration of WebCargo Rate & Quote Air Professional package specially made for you.

Using this version, non-IATA freight forwarders can upload their rates and receive shared rates from an IATA forwarder who has access to WebCargo. This guide will walk you through the steps to manage your rates efficiently.

How to use static rates shared by a forwarder

You are also able to view and quote with rates from other freight forwarders. In order to do this, please contact an IATA forwarder who is registered with WebCargo and ask them to share rates with you.

Once they have activated the share option, you will be able to search for, view and quote with their rates. To see shared rates, make a static rate search as shown above.

Shared rates are identifiable with the freight forwarder logo next to them.

How to upload your own static rates

You can upload your rates into the WebCargo system using a standard template as a Non-IATA forwarder. Find out below how to do this.

The standard template provided by WebCargo should be used to input buy and sell rates. To find this template, click on the Rate management button from within the side menu, then Rate upload and Templates.

Once the page has loaded, highlight the first option called Forwarder rates from the list within the Rate upload tab, then click on the Excel symbol to the right from within the corresponding row. This will automatically trigger a download of the file.

Once your file has been downloaded, enter the details in the corresponding sections. You will see a section for the airline IATA code, Product, Service, Origin, Destination, and weight breaks.

Enter the rates you have available, following the format and maintaining the column headers that are shown in the file. Then save your file in an easy-to-find location on your computer with a name which makes it easily identifiable.

How to upload your rates

Within the side menu, click on Rate management, then Rate upload and then Rate upload again.

Select the Choose file option, then find the file with your static rates inside and add it. Form the Update dropdown, select New file if you are uploading new rates, or you can choose to overwrite an existing file.

Important: if you choose to overwrite an existing file, previous records will be removed and can not be readded afterwards.

If you have any supporting documents, you can also attach a separate file. Once you have checked the fields, click on the Upload button. The file will then process and once uploaded you will receive a confirmation on screen.

The new rates will now be added to the system, and you will be able to access the Excel file within the list of rates within this section. If you do not see the new file, refresh your screen and it should appear.

How to use your uploaded rates to quote

To view and quote with your uploaded rates, click on the New button within the side menu, then click on New Rate & Quote.

Enter your shipment details, selecting information that you had previously uploaded within the static rate file. Then click on Search all rates.

How to use dynamic rates to book

In the same way freight forwarders can share static rates with you, you can also be delegated eBooking authority to book with dynamic rates shared by an IATA forwarder.
