How to work with custom fields on opportunities in webCRM

Opportunity Numbers

If you enable Numbers for Opportunities, you will automatically be allocated a new, unique, sequential reference Number for every Opportunity created in the system. You can specify the length of the Number of Digits and whether the Number is editable by Users or not.

This is useful if you wish to provide, for example, a Quotation Number to potential customers, that they can refer to when dealing with your sales team. This number, like all fields, can be merged into correspondence about the Quotation/Sale.

If you select Auto next number = No then instead, you can manually apply your own Number, but if you have more than one User working on Opportunities you risk creating duplicates.

NOTE: Opportunity Numbers (if automated) can also be used as import/update mapping fields because they are guaranteed unique.

If you need to expand the digits of your Opportunity Numbers, for example because you originally set 4 digits and are now approaching Opp Number 9999 then you can do so using the Update number length for all Opportunities function. Set the new digit value and click this and your existing Opportunity Numbers will be adjusted throughout the system.

Edit Quotation total

If you have enabled the Quotation module then you will see this option. It enables you to specify when, or if, Quotation totals should be editable by Users.

Options are: Yes, When no Quotation lines, Never

You might choose Yes, or When no Quotation lines if you sometimes have bespoke consultancy, for example, and have not therefore selected a Product or Service from your price list.

Rename field labels

The Opportunity system fields Revenue, GM and Order Date, if enabled, can be renamed to suit your sales process and terminology. If you specify no alternatives here, then the defaults will be used in your system.


Custom fields: Search

Two fields are available at the top of the Custom fields configuration screen. These fields provide Text or List type fields on your Opportunities but additionally they are added to the top of the Opportunities List view for easy filter/search.

This is useful if, for example, you wish to provide a high level split of your Opportunities, perhaps by a Supplier (where you regularly buy in from one of your preferred Suppliers). You can very quickly report on all the Opportunities Won where x was the Supplier.


Custom fields: Lost


Three additional fields are provided so that you can track information about why you Lost an Opportunity.

These fields can only be set as Text or List type, and they will appear on screen if you update an Opportunity to Pipeline level 14 (Lost).

You can report on these fields and analyse the reasons why, which competitors you lost to, or other relevant information to help you make strategic decisions.
