Viewing and navigating a consult

The notes area and its tabs

The large panel on the left holds your notes. Whippet drafts a note for each template it ran, each in its own tab labelled with the template name (or simply Note if it has none); click a tab to switch. A client summary letter appears as its own Client Summary tab (or its own title, if it has one), and a provider letter as Provider Letter — see The client summary letter.

Editing a note inline

There's no separate edit mode — click into any note and start typing. Changes aren't saved until you click Save in the toolbar above the editor; the button stays greyed out until you've changed something, and a failed save shows Failed to save note (or Failed to save letter). You can also reshape the text with AI in the editor — see Rewriting text with AI.

Starting another note from a template

Click New from template at the right-hand end of the tab strip (labelled New Note from Template when the consult has no notes or letters yet), pick a template, and Whippet starts drafting it as a new tab. While a note is generating, the button is greyed out.

The toolbar

Above the notes panel:

  • Archive (the archive icon on the far left) — hides the consult from your active list after an Archive consult? confirmation. Restore it later from the archived view.

  • Add details — add more to the case by typing, dictating, recording, or uploading audio, and have Whippet fold it in. It only appears once processing has finished. See Adding details to a consult and Updating a consult after your notes are ready.

  • The More menu (the three-dots icon) — opens View transcript and View key information.

Exporting happens inside the editor: each note's toolbar has Download .docx and Download .pdf buttons; the file is named after the patient and consult date. See Exporting and copying your notes and letters.

Transcript and key information

Choose View transcript from the More menu to slide out the Transcript panel on the right — the complete text of what was said, with a Copy button in the header. If there's no transcript, you'll see No transcript available. View key information opens the Key Information panel the same way — the clinical points Whippet pulled from the transcript, also with a Copy button.

The details panel

On the right is the Consult Details panel. A status badge at the top shows where the consult is up to — Summarised when finished, or Summarising, Transcribing, Error, or Usage Limit. Below that:

  • Patient, Animal (with breed if known), Age, and Owner.

  • Date, Duration, and the Veterinarian who recorded it.

  • A Summary, when one is available.

  • Billable Items, when Whippet identified any — each shows the item, an optional note, and a price; less certain items are tagged Likely.

Drag the divider between the two panels to give either side more room, or collapse the details panel entirely.

While a consult is still generating

If you open a consult that's still processing, the notes area shows live progress instead: a checklist (Transcribing audio, Classifying transcript, Summary and patient, Extracting key information, Generating notes, Client summary, Billable items) ticks off as each step completes. Notes stream in as they're written, and patient details, the summary, and billable items appear in the details panel as soon as they're ready — no need to wait for everything to finish.

If something goes wrong

  • Add details isn't showing. It only appears after processing finishes — wait for the consult to complete.

  • The Add details button is greyed out. Another note is already generating — wait for it to finish, then try again.

  • A red error card appears while generating. The card explains what happened and where it stopped (for example Failed at: Transcription), and always offers Back to consults. Common messages:

    • We couldn't hear any speech — check the right microphone is selected and microphone permissions are enabled, then try Record again.

    • Transcription is temporarily unavailable — try again in a few minutes.

    • You've reached your monthly recording limit — use Upgrade plan to keep generating notes this month.

    • We couldn't generate your notes / Something went wrong on our end — try again, or contact support if it keeps happening.

  • The page says "Loading consult…" or shows an error loading the consult. Refresh the page; if it persists, contact support.

What this doesn't do (yet)

  • Show the details panel on mobile. On a narrow screen the Consult Details panel and its divider are hidden — you'll see the notes area only.
