Recording & uploading

Recording your consult is the first step you need to take, it can be done in two ways:

1. Record on the mobile app

  1. Download the Whippet Notes app: Apple App Store or Google Play Store.

  2. Press the red record button to start or pause recording.

  3. Once paused, press the stop button to upload.

  4. Enter your patients name and press upload recording.

  5. Your recording has now been uploaded - to view it, login to your dashboard via your desktop.

  6. You now have the option to upload an image, if you don't have an image to add, press the screen above the upload image window to go back to the recordings list.

Recording on the app tips:

  • Recordings need to be at least 30 seconds.

  • Recordings can be done if you have no internet. See below Managing Your Recordings.

2. Record on desktop

  1. Press the start recording button on your dashboard.

  2. Press press pause when you have finished recording.

  3. Once paused, press the upload button.

  4. Once transcribed, your recording will be available on your dashboard.

  5. Press open to view your notes.

Recording on desktop tips:

  • Ensure your computer has a microphone, either built-in or external.


Adding images

Adding an image to your consult can be done via the mobile app:

Option 1:

You will be prompt to 'upload image' after your recording has been uploaded, from here click the camera roll button and select your image.

Option 2:

If you decide to upload an image at a later time, swipe left on a recording that has been uploaded (an uploaded recording will have a green cloud next to it), then select the attach image button.

Your images will appear on your consult via the desktop (underneath the Key information window).


Managing Your Recordings

  1. Immediate Upload or Save for Later:

    • After finishing a recording, you can choose to upload it immediately if you have internet access.

    • If you’re offline, the app will save your recording. You can upload it later when you have internet access.

  2. Swipe Actions on Recording:

    • Swipe left on the recording row in your recording list to reveal action buttons.

    • You will see the options: Upload, Attach Image or Delete

  3. Understanding Cloud Icons:

    • A green cloud icon next to a recording indicates it has been successfully uploaded and is safe to delete from your device.

    • A grey cloud icon signifies that the recording is not yet uploaded. Swipe on the recording row and select “Upload” to store it in the cloud.


Strategies for Noise Management

  1. Stay Proximate to Your Device: Keep your phone close to you during consultations. If you need to move, take the phone with you to ensure it captures your voice clearly.

  2. Repeat Important Points: If you're concerned that a crucial part of the consultation might not be recorded clearly due to noise, it's a good idea to repeat key information when you're closer to the phone or in a quieter spot.

  3. Utilise Pause Functionality: To maintain the quality and relevance of your recordings, make use of the pause feature when stepping away from the consultation or during periods of inactivity. This prevents unnecessary background noise from being recorded and keeps your audio files concise and focused on the consultation itself.
