Understanding Your Inventory Summary

Overview

The Inventory Summary on the Inventory Management page provides a comprehensive snapshot of your current inventory. Located at the top of the page, it offers an at-a-glance view of the number of listings you have on your site, a summary of the display settings for those listings, and any action items that need attention.

By regularly reviewing the Inventory Summary, you can quickly identify any listings that may be missing crucial data, such as photos or body invoices, and take immediate action to resolve these issues. This ensures that your inventory is accurate, complete, and fully optimized for potential buyers, providing them with the best commercial shopping experience. In this article, we’ll walk through the steps to access and navigate the Inventory Summary, and how to address any action items that need attention.

Before We Get Started

  • You must have Sales Manager or Inventory Manager level permissions to access the Inventory Management page on your Work Truck Solutions commercial site.

  • You must be logged into your Work Truck Solutions commercial site to access the below features.

Accessing the Inventory Summary

To view your Inventory Summary, follow these steps:

  • Step 1: Hover over the Tools tab in the main navigation bar

    • Select Inventory Management from the dropdown menu.

  • Step 2: This will direct you to the Inventory Management page where the Inventory Summary will be located in the top left corner of the page.

Understanding the Inventory Summary

Within the Inventory Summary, you will see two lines of information:

  • Your Current Listing Stats: A summary of the number of listings you currently have available on your site and a summary of the display statuses for those listings.

  • Call to Action Items: A list of any outstanding items that require your attention, such as missing photos, missing body invoices, or unknown upfits.

Below, we'll walk through the specific listing stats that may appear and action items and how to manage them.

Check current Inventory Listing Stats

The current Inventory Listings Stats section, highlighted in blue, provides an overview of your current listings on your Work Truck Solutions site. This section offers insight into the status of your vehicles on the Work Truck Solutions commercial site. To filter your inventory list down to one of these items, simply click the blue link next to your desired display status.

You will see the following information in this section:

  • Total Current Listings: The total number of vehicles currently listed in your inventory.

  • Listings On Sale: The number of listings with a sale banner attached to them.

    • The Sale banner can be added within the Edit Pricing pop-up on Inventory Management.

  • Featured Listings: The number of vehicles currently featured on your site.

    • Featured listings are elevated to the top of search results on your Vehicle Search Page.

  • Hidden Listings: The number of listings that are currently hidden from the public view.

    • These are not accessible by any user on your Vehicle Search Page, a locator site, or within VAST.

  • Private Listings: The number of listings marked as private

    • When a listing is marked as Private, buyers can only see them if they are provided a direct link to the Vehicle Details Page.

  • VAST Only Listings: The number of vehicles listed exclusively on VAST.

    • VAST-only listings will not appear within search results on your Vehicle Search Page, nor will they be included on any locator sites.

Reviewing and Addressing Call to Action Items

The Call to Action section will highlight any issues with your inventory that require attention. These items will be displayed in red for easy identification, and may include information about missing body invoices, photos, or incomplete upfit status. It is very important to review your Call to Action items and work to resolve those issues to ensure your inventory is up to date and to give your buyers the best commercial shopping experience possible.

In the image above, we can see that there are 3 listings with Call to Action items- 2 listings with the status of Unknown if Upfit and 1 listing missing an invoice.


Missing Photos

If any listings are missing photos, the number of listings with missing photos will be displayed in red. You can click on this red number to filter your inventory and view only those specific inventory items without photos.

What to do:

  • Click on the red number next to "Missing Photos." This will filter your inventory list to show only the listings that are missing photos.

  • Once your list has been filtered down, you can export this list to give to your dealership photographer so that they can go on lot and take the missing photos.

  • Once photos are available, upload them to your site by either:

    • Adding them directly to your feed.

    • Using the Edit Listing tool to upload the images manually to each listing.


Missing Body Invoices

Similarly, if any vehicles are missing body invoices, click on the number in red next to missing invoices to filter your inventory list down to view only the vehicles for which you are missing a body invoice. You can upload the body invoice directly from the Inventory Management page or email the invoices to invoices@worktrucksolutions.com.

Incorrect Photos

As a dealer, you may have previously uploaded photos of a cab chassis and submitted an invoice for that vehicle becoming a service truck. However, we may not have received the updated photos showing the vehicle after the change is complete. It's important to send us the new photos of the finished service truck so we can ensure that your vehicle listing is accurate and up-to-date.

If any vehicles have incorrect photos, you can click on the number in red next to incorrect photos to filter your inventory list down to view only the vehicles for which you have incorrect photos.


Unknown if Upfits

What is an Unknown if Upfit listing?

An Unknown if Upfit listing refers to a vehicle that could either be sold as bare or an upfitted vehicle. This typically applies to vehicles like cab chassis, cutaways, or cargo vans. A vehicle is classified as an unknown if upfit when we do not have photos or a body invoice, so we are unable to identify whether the vehicle is upfitted or not.

Why does it matter:

It is important to review this list frequently, because if the vehicle is currently listed as unknown if upfit, then it will be displayed to your buyers as, for example, a bare chassis instead of a service body or dump truck.

What to do:

  • Click on the red number next to "Unknown if Upfit" to filter your inventory list to only those vehicles with unknown if upfit status.

  • If you identify a vehicle that is upfitted on this list, you can:

    • Upload the body invoice for the vehicle.

    • Get photos taken and either add them to your feed or upload them directly from the Inventory Management page

    • You can contact support to let them know the correct body type for the vehicle, which will ensure it is reclassified appropriately.

  • Completing any of these options will allow us to get the vehicle reclassified accordingly, in order to ensure your buyers are seeing the most accurate information for your on lot inventory.

  • If you see a vehicle on this list that is NOT an upfitted vehicle, you can do one of two things:

    • Click the View Invoices link in the Body Type column.

      • Select the Mark if "Not Upfit" option to remove the vehicle from the Unknown Upfit list.

    • Reach out to support and provide stock numbers of vehicles that should not be classified as upfitted.
