Creating a Vehicle Listing

Overview

Manually creating a new vehicle listing on the Inventory Management can be an essential step in maintaining an up-to-date and organized inventory on your Work Truck Solutions commercial site. Whether you’re listing a new or used vehicle, this detailed process ensures that you provide buyers with the most accurate and comprehensive information about your vehicles. Adding details such as chassis and body specifications, vehicle pricing, and photos, helps to enhance the buyer's experience and make your vehicles stand out. In this article, we will guide you through the entire process of creating a new vehicle listing, from entering vehicle details to publishing the listing on your commercial site.

Please note that unlike vehicles from your feed, which automatically drop off your Inventory Management page once they leave the feed, you will need to manually remove any vehicles that you have manually created. See the "Mark As Moved" article for further details on this process.

Before We Get Started

  • This article specifically addresses creating a Vehicle Listing, not how to create a Body-Only or Trailer Listing.

  • The following feature is only available for Truck Pros with Sales Manager or Inventory Manager level permissions who also have the Edit Vehicle setting on Truck Pro Management set to either "Editing" or "Editing and Creating”.

How to Create a Vehicle Listing

Step 1: Navigate to the Inventory Management Page

  • Once logged in, hover over the "Tools" tab on the main navigation bar at the top of your screen and select Inventory Management.

Step 2: Click on the Create a New Listing button

  • Once on the Inventory Management page, click the "Create Vehicle Listing" button located in the top-right corner of the page.

    • This opens the vehicle listing creation form, where you'll start entering the Chassis Details, Body Details, Photos, Price and Options and Listing Details for the vehicle you are creating.

Step 3: Enter Chassis Details

Here, you will need to enter in essential key details about the chassis.

  • Select whether you are creating a "New" or "Used" vehicle listing.

  • Enter the desired Stock Number for the vehicle.

  • Enter the VIN for the vehicle.

    • Click the "Decode VIN" button to auto-fill as many chassis details as possible using the Work Truck Solutions VIN decoding system.

  • Adding Additional Chassis Details

    • Once the VIN is decoded, several fields of chassis information will appear in a drop down. These details typically include the vehicle’s make, model, year, engine type, and more.

    • Edit or add any additional details to the fields as necessary and click "Next" once you are satisfied with the edits.

Note: While we can get some details from VIN decoding, we can’t get all of the chassis information this way, so it is important to review each field and any desired information that is missing.

Step 4: Enter Body Details

After entering in Chassis information, you will be directed to the Body Details section.

Step 4A: Select Body Type

  • Select the Body Type from the dropdown menu by scrolling through to find the body type for the listing you are creating.

    • Pro Tip: You can also start typing in the name of the body type to filter down your list of options.

Step 4B: Add Body Notes or Information

  • Once a body type is selected, you may either see several fields of body information appear in a drop down or a Body Notes section will vary based on the body type of the vehicle selected.

  • For non-upfitted body types, you may only see the "Body Notes” field in the Body Details section pictured as below.

  • For upfitted vehicles, the Body Manufacturer field is required. Select the appropriate Body Manufacturer name from the dropdown menu.

    • Edit or add any body details as needed to provide a complete description.

  • Click "Next" in the bottom-right corner once you are satisfied with your edits.

Step 5: Upload Photos

  • Add any available images in the Photos section to create a clear, well-documented listing that attracts more buyers.

How to Upload Photos

  1. To upload, drag and drop the files into the upload box or click inside the box to access the files on your device.

  2. Once the photos are uploaded, dealers can drag them to rearrange them in the desired order.

    1. Pro Tip: The first two photos they upload will be prominently displayed on their Vehicle Search Page. Ideally, these should be clear, well-lit front and back-angle photos similar to those seen in the example below.

  3. Once satisfied with the photos and the order in which the photos are displayed, click "Next".

Pro Tip: If the vehicle is not physically on your lot and you are unable to take photos, contact support@worktrucksolutions.com to get library images until you are able to upload your own.

Step 6: Enter Pricing Information

  • Enter your Start Price and Final Price for the vehicle in the allotted boxes.

    • If you wish to hide pricing for this vehicle listing, simply check the box next to “Hide price From listing.”

  • Click the "Next" button in the bottom-right corner once you are satisfied with your edits. in the bottom-right corner once you are satisfied with your edits.

Step 7: Display Details and Finalize Listing

  • Finally, you'll have the ability to select display settings on the Listing Details section.

Click the different categories below to see what a dealer can adjust within this section.

Default and Custom Title (Optional)

  • You can choose to enter a Custom Title instead of that Default Title that has been selected which will overwrite and replace all of the information in the Default Title field.

Select Display Status

Choosing the correct Display Status helps you control how and where your vehicles appear to buyers. Below are the different display statuses:

  • Show: Displays the vehicle on your Vehicle Search Page (default).

  • Hide: Removes the vehicle from your Vehicle Search Page and makes it invisible to buyers.

  • Feature: Pins the vehicle to the top of your Vehicle Search Page and highlights it.

  • Private: Removes the vehicle from the Vehicle Search Page but allows you to send a private access URL link to targeted buyers.

  • VAST Only: Hides the vehicle from the Vehicle Search Page and lists it only within VAST. This will not display to your buyers.

Select On-Lot Status

Choosing the correct On-Lot Status helps you accurately represent where each vehicle is in its sales lifecycle. This ensures your listings are transparent to buyers and helps manage customer expectations around vehicle availability.

  • On-Lot: Vehicles currently located at dealership, available for viewing and sale.

  • In Transit: Vehicles that are currently on their way to the dealership, but have not yet arrived.

  • Being Built: Vehicles that are in the process of being upfitted and are not yet available at the dealership.

Add Sale Banner

Adding a Sale Banner helps highlight special promotions or discounted vehicles, drawing more attention to specific listings and encouraging buyer engagement.

  • If you would like to include a sale banner, check the box next to Show Sale Banner to display a sale banner on the vehicle listing.

Dealer Trade Notes

You may choose to add any Dealer Trade Notes specific to this vehicle. To do so:

  • Add any notes in the Dealer Trade Notes field.

    • These will only appear to other Work Truck Solutions-subscribing dealers within the VAST tool.

Add Expiration Date

To set an expiration date for the listing:

  • Check the Expire Listing On box and select the date you want this vehicle listing to expire.

  • The listing will be removed from your Inventory Management page

  • No longer appear on your Vehicle Search Page

  • Moved to your Past Inventory once the expiration date passes.

Youtube URL Addition

Including a YouTube video on a vehicle listing helps showcase the vehicle in a more engaging way, allowing buyers to see key features and benefits up close. To include a Youtube URL link:

  • Simply enter in the URL link to attach it to that vehicle's listing.

Step 8: Publish Listing

  • Once you've finished selecting your Listing Details, click Publish in the bottom right corner to finalize the listing.

  • You will now be taken back to your Inventory Management page where you will see the newly created vehicle listing at the top of your list of vehicles.

  • If you scroll down to your list of vehicles, you will see that the newly created vehicle listing has a green icon over the image of the vehicle, as an indicator that you manually added this vehicle listing.
