Exporting Inventory Data

Updated over 2 months ago

Overview

The Export Listings feature is a tool on the Work Truck Solutions platform that provides a seamless and efficient way to manage and export your vehicle listings. Whether you are looking to download a comprehensive list of all your vehicles or need to extract specific data based on your filters and preferences, this tool offers a wide range of export options to suit your needs. The ability to export your inventory in two popular formats, Excel (.xlsx) or CSV (.csv), ensures compatibility with most data systems and spreadsheet tools.

This article will guide you through each step of the process to ensure that you can easily filter, select, and export your vehicle data in just a few clicks.

Before We Get Started

  • This feature is only available for Truck Pros with Inventory Manager level permissions.

Step-by-Step Guide to Exporting Your Vehicle Listings

Step 1: Navigate to Inventory Management

After logging into your Work Truck Solutions site, hover over the Tools tab in the main navigation bar and select Inventory Management from the drop-down menu.

Step 2: Access and View Inventory Management

  • You'll be directed to the Inventory Management page, where you will be able to export your vehicle inventory data.

Step 3: Filter Your Inventory (Optional)

Once you're on the Inventory Management page, you can choose to filter your inventory to narrow down the listings you want to export. You can filter your inventory by using your Inventory Listings Stats, Call to Action items or the Advanced Search feature. You can read more about how to filter your results with Inventory Summary links and Call to Action items with our Inventory Summary article or how to filter your results using the Advanced Search feature with our Advanced Search article.

If you want to export ALL listings without any specific filters applied, you can skip this step and proceed to Step 4.

Step 4: Select Vehicles for Export (Optional)

To narrow down the number of listings you wish to export even further, you can use the checkboxes at the left of each row.

  • To select all vehicles visible on the current page, click the checkbox in the top-left corner of the inventory list header.

  • If you prefer to select specific listings, simply click the checkbox in the far-left column next to each desired vehicle.

Step 4: Open the Export Listings Window

  • Once your inventory list is filtered (or if you choose to export everything), click the Export Listings button in the top right corner to open a pop-up window where you can select which rows and data to export.

Step 5: Select Rows for Export

There are three ways to select the listings that you would like to export:

  • Option 1: Click Export Filtered Rows

    • This exports listings based on the filters you have selected on the Inventory Management page.

  • Option 2: Click Export Selected Rows

    • If you manually selected certain vehicles as reviewed in Step 2, this option will export only those listings. This is perfect for when you want to export a curated list of vehicles.

  • Option 3: Click Export All Rows

    • This option will export all the listings currently on your Work Truck Solutions commercial site, regardless of any filters or selections you made.

Step 6: Choose Data Type to Export

After you have chosen which rows to export, you will choose whether to export Basic or Full Data.

  • Basic Data: If you only need essential information for each vehicle (e.g., make, model, stock number, and price), you can choose the Basic Data option. This provides a concise, high-level overview of your inventory.

  • Full Data: If you need specific detailed information about each vehicle (e.g., body type, upfit details, and specific configurations), select the Full Data option. This export includes comprehensive vehicle specifications, ensuring no important details are left out.

Step 7: Select Export File Format

  • Once you have selected your preferred export options, click the appropriate file format (Excel or CSV). The system will generate and prepare the data file based on the preferences that you have selected.

Step 8: Exporting and Downloading Your Data File

  • The system will generate and prepare the data file based on your selected export preferences.

  • Once the export is complete, the file will be available for download.

    • Depending on your browser settings, the file will either download automatically to your default folder or prompt you to choose a save location.

Step 9: Viewing Export File

  • Once your file has been downloaded, navigate to the folder or location you designated in step 7 to locate the file so you can further view it.
