How to Schedule a Customer Appointment

Schedule a customer appointment with date, time, location, and type.

Schedule appointments in the portal so meetings with customers stay visible to your team — with the right contact, time, and meeting type on the record.

Before You Start

  • Plan/Package: Requires the CRM add-on.

  • Role & Permissions: Salespeople can do this for their own customers. Sales Managers and Admins can do it for any customer. Analytics and Inventory Manager users can view customers but can't make changes.

  • Before you begin: Connect your Gmail or Outlook account (see How to Connect Your Gmail or Outlook Account). Appointment invites are sent from that connected account.

Steps to Schedule an Appointment

Step 1: Open Appointments

  • In the left navigation, click Appointments.

Step 2: Start a new appointment

  • Click New appointment. The Create appointment window opens.

Step 3: Choose the customer and contact

  • Select a Customer. For business customers, select a Contact and an Invite email when emails are available.

Step 4: Set meeting details

  • Enter a Title. Optionally add a Description. Set Date, Time, and Duration. Choose a Location (Video call, Telephone, Dealership, or Other) and a Type (Sales meeting, Service consultation, Follow-up call, Vehicle delivery, or Test drive).

Step 5: Save the appointment

  • Click Save appointment. An invite goes to the customer from your connected email, and the appointment is added to your Gmail or Outlook calendar.

Good to Know

  • The invite comes from your own email address, so it looks to the customer like any other meeting invite from you — not from a Work Truck Solutions address.

  • If the customer declines the invite, you'll get a notification in the notifications bell.

  • Upcoming appointments show on your Dashboard alongside tasks that are due, so you can plan your day from one screen.

  • Appointments are logged on the customer's record, so anyone following up can see what was scheduled.

Conclusion

Scheduled appointments keep customer meetings on a shared calendar your team can filter by salesperson, customer, or type.
