How Customer Activity Is Tracked Automatically

See a customer's full activity history — emails, quotes, and status changes — logged automatically in one place.

Every customer record keeps an automatic activity log — emails, quotes sent, and status or field changes — recorded in one place, without changing how you work day to day.

Before You Start

  • Plan/Package: Requires the CRM add-on for full email-related activity tracking. With limited customer management, customer records show a shorter Recent Activity feed with no email sync.

  • Your Outlook or Gmail account must be connected (CRM add-on only).

  • Add the customer's website on the record's Details tab — email matching works from that website's domain.

Steps

  1. Continue emailing customers normally from your own inbox — no separate step is required in the portal.

  2. Open a customer record and go to the activity tab to see the full history: emails sent and received, quotes created and sent, vehicles added as vehicles of interest, tracked phone calls, and status or field changes made by any user.

Good to Know

  • This works even for people not yet saved as a contact — matching is based on the company's email domain, not the individual, so coverage doesn't break if a new person joins the thread or a rep is out. When someone new emails you from that domain, they're added as a contact on the customer record.

  • Public email domains (such as Gmail and Yahoo) are excluded from domain matching, so they won't pull unrelated people into a record. If a contact uses a personal address like that, add it to their contact record — emails to and from that address will then be matched to the customer.

  • With limited customer management, the Recent Activity feed still displays, but will be sparse because email sync isn't included — this is expected behavior, not a bug.

  • Once your email is connected and the customer record has a website or a contact email address, up to a year of past emails between you and that customer is pulled into the Activity tab. Older emails can take a few minutes to appear.

  • You can filter the Activity tab to show deals, emails, or phone calls.
