Managing workspace inventory, desk ranges, and pricing

This section defines what clients can actually enquire about.

Each workspace type appears as a separate option in your listing.


What this section is for

Capturing clear workspace options (Private offices, Desks, and Meeting rooms).

Use this section to create an accurate, compelling listing for your workspaces. High-quality information helps customers understand whether the space fits their needs and increases booking enquiries.


Workspace name

  • Use a clear, descriptive name that reflects the office type or size (e.g. “6–8 Person Private Office”).

  • Avoid internal codes or vague labels like “Office 1” or “Test”.

Tip: Sales teams scan listings quickly, clarity here is important.


Workspace description

More detail is provided on writing strong descriptions here.


Size

  • Enter the total size of the office.

  • Use approximate measurements if exact figures are unavailable, but avoid leaving this blank where possible.

Why it matters: Some customers are prescriptive about the size of their office and this will help our sales teams include the appropriate options in their shortlists.


Floor

  • Specify the exact floor number (e.g. “3rd floor”).


Amenities

  • Select all amenities available within the workspace or immediately accessible.


Desks (minimum and maximum)

  • Minimum desks = smallest comfortable team size

  • Maximum desks = absolute capacity without overcrowding

  • Ensure this aligns with:

    • Workspace size

    • Desk layout shown in photos

Example:

  • Minimum: 5

  • Maximum: 10

Tip: If you prefer not to list every individual workspace at your location, you can enter a size range that covers all available options. This ensures your space appears for all relevant searches.

For example, if your smallest office is 1 desk and your largest office is 20 desks, enter this full range here and reflect the same range in the pricing section.


Term length

  • Enter the shortest and longest lease terms you are willing to offer.

  • Common ranges:

    • Short term: 1–3 months

    • Long term: 12–24 months

Tip: More flexible terms typically attract more enquiries.


Cost per desk

  • Enter monthly prices per desk, excluding VAT/sales tax unless otherwise agreed.

  • Use a realistic range that reflects:

    • Location

    • Office quality

    • Included services

Example:

  • Minimum: $200

  • Maximum: $400

Tip: If you prefer not to list pricing for every individual workspace, you can enter a price range that covers all available options. This ensures your space appears for all relevant searches.

For example, if your lowest price is $200 per desk and your highest price is $400 per desk, enter this full range here and make sure it aligns with the desk range provided above.

Notes on Workspace Types

  • Meeting Rooms are displayed on Worka.com only.

  • Private Offices and Desks are displayed on both Worka.com and Instant Offices.com.

    • On Instant Offices, Private Offices are listed as Serviced Offices / Executive Suites.

    • Desks are listed as Coworking Spaces.

  • Some workspace types, including Virtual Offices and Leased Spaces, are available on Instant Offices but cannot be managed via the Worka Partner Portal. If a Location is visible on Instant Offices but does not appear in your Partner Portal, and it was created prior to November 2024, please contact the Worka Support Team for assistance.
