You can use notes and tags to help your team manage applicants more efficiently, especially when reviewing large numbers of candidates or working through multiple hiring stages.
What are notes and tags used for?
Notes and tags are internal tools used to help you manage applicants. You can use them to:
Record feedback about an applicant
Add reminders or next steps
Highlight strong candidates
Track screening or interview progress
Group applicants by common labels
Keep internal comments attached to an applicant record
Tags are useful for quick categorisation, while notes allow you to add more detailed comments.

Notes and tags are intended for internal hiring management only.
Before saving a note, make sure the information is:
Relevant to the applicant review process
Clear and professional
Appropriate for internal recruitment use
Helpful for future hiring decisions
How to access your job applicants
To add notes and tags to an applicant, first open the applicant list for the relevant job ad.
Log in to your Workinitiatives employer account.
From the left-hand menu, click Jobs.
Select Job ads.
Find the relevant job listing.
Under the Actions column, click the three dots.
Select View Job Applicants.
This will open the applicant list for that job ad.
How to open the applicant actions menu
Once you are on the applicant list:
Find the applicant you want to update.
Go to the Action column on the right-hand side.
Click the three dots next to the applicant.
Select Add Notes & Tags.
This will open the Add Notes & Tags window.
How to add tags to an applicant
In the Add Notes & Tags window, use the Add tags field to add one or more tags to the applicant.
To add a tag:
Click into the Add tags field.
Type the tag you want to use.
Add multiple tags if needed.
Examples of useful tags include:
Strong candidate
Phone screen complete
Interview booked
Follow up required
Available immediately
Needs work rights check
Shortlist review
Possible future fit
Tags should be short and easy for your team to understand.
How to write an internal note
Use the Write note section to add internal comments about the applicant.
You may want to include details such as:
Interview feedback
Screening notes
Availability
Salary expectations
Work rights observations
Resume feedback
Next steps
Anything your team should know before progressing the applicant
You can also use the formatting toolbar to structure your note with bold text, bullet points, numbered lists, or other formatting options.
How to save notes and tags
Once you have added the relevant tags and written your note:
Review the information you entered.
Click Confirm.
Your notes and tags will be saved against the applicant record.
Troubleshooting
I cannot see the Add Notes & Tags option
Make sure you are viewing the applicant list for a specific job ad. You can access this by going to Jobs > Job ads, selecting the relevant job, and choosing View Job Applicants from the actions menu.
I cannot save my note
Check that you have entered the required note details. If the Confirm button is not working, refresh the page and try again.
I added a tag but cannot see it
Refresh the applicant list and reopen the applicant record. If the tag still does not appear, try adding it again or contact support.
I need to update an existing note or tag
Open the applicant actions menu again and select Add Notes & Tags to review or add further information.
