Australian employers must make sure their employees and contractors have the legal right to work in Australia.
During recruitment, employers should verify whether a potential employee or contractor is:
an Australian citizen, or
a visa holder with permission to work in Australia
For visa holders, employers should also check that the person’s visa allows them to perform the required work:
What to check | Why it matters |
Work rights | Confirms whether the person can legally work in Australia |
Visa conditions | Confirms whether there are limits on the type of work they can do |
Location restrictions | Confirms whether they can work in the required location |
Hour limits | Confirms whether there are restrictions on the number of hours they can work |
Visa expiry | Confirms how long the person may be able to work |
Condition changes | Helps identify changes that may affect ongoing employment |
If a person is found to be working without a visa, or in breach of their visa conditions, the employer may face fines or other penalties.
The visa check information supplied is generated from the Australian Government, Department of Home Affairs Visa Entitlement Verification Online (VEVO) system.

Single visa checks for applicants
What is a single visa check?
A single visa check allows you to check the work rights of one applicant who has applied for a job through Workinitiatives. The applicant receives a secure email request from Workinitiatives asking them to provide the required passport information. Once the applicant provides the required information, the check is completed and a detailed report is sent to the employer admin’s inbox.
Cost of single visa checks
For every job posted on Workinitiatives, you receive 3 visa check credits to check work rights for applicants. After those included credits are used, additional checks cost $4.50 each including GST. Visa check credits may be included when you use:
Pay As You Go posting
a monthly subscription
a job pack
job ads posted through Workinitiatives
A detailed report is provided for every successful check.

How to run a single visa check for an applicant
1. Go to Job ads
From your employer dashboard:
Select Jobs from the left-hand menu.
Select Job ads.
This will open the All job ads page. Find the role you are reviewing applicants for and and select the applicants that has applied. This will refresh and show you your list of applicants.
2. Locate the applicant
On the All applicants page, find the applicant you want to check. You can view applicant details such as:
Column | What it shows |
Applicant | The applicant’s name and details |
Work rights | The option to check the applicant’s work rights |
Date applied | The date the applicant applied |
Status | The applicant’s current status |
Contact | Contact options |
Attachments | Documents attached by the applicant |
Passport country | Passport country, if available |
Current location | Applicant’s current location, if available |
Applied via | How the applicant applied |
Action | Additional applicant actions |
3. Select Check Work Rights
In the Work rights column, select Check Work Rights for the applicant. A Job seeker’s work rights check information window may appear. This window explains why work rights checks are used and how the check works.
Your next screen will show your available visa check credit balance or will ask for payment should you have run out of visa check credits and proceed with the check.
The applicant will then receive an email from Workinitiatives requesting they provide their passport information securely to conduct the visa check.
Once the required information is provided by the applicant, the check will be completed and a detailed report is sent to the admin's inbox.
Bulk work rights checks
Bulk work rights checks allow employers to verify visa and work rights information for multiple non-Australian citizens. This can be useful if your organisation employs many non-citizens and needs to manage ongoing work rights compliance.
Bulk checks can help automate repeat checks for existing workers.
How bulk work rights checks work
With bulk work rights checks, you can upload a list of passport checks in CSV format and run ongoing checks during the plan period.
You can set automated checks to run every:
7 days
14 days
28 days
A detailed report can be sent to your inbox for visa expiries and changes in conditions.
This helps your organisation stay informed of changes to employee or contractor work rights.
Example of bulk visa checks
If you set the visa check period to every 7 days and upload 50 employees to the bulk check system, the checks will run weekly during the plan period.
This means you may receive multiple rounds of work rights checks for those 50 employees during the 30-day plan.
Cost of bulk work rights checks
Bulk work rights checks are charged on an ongoing monthly basis and require a valid payment method in Workinitiatives.
You can cancel your plan at any time through the Bulk Work Rights Check landing page.
Bulk work rights checks are separate from the visa check credits you receive from job ads.
How to enable bulk work rights checks
To enable bulk work rights checks, contact Workinitiatives support.
