Find and hire job-ready talent through the Talent Mobility Hub

How to find, shortlist, interview, contract, and hire job-ready international talent from your employer account.

Workinitiatives lets you advertise locally while reaching national and international talent. Through the Talent Mobility Hub, a network of government-trusted, NGO-aligned partners qualifies and screens candidates so you receive talent that's identity verified, qualifications validated, English tested, and professionally screened.

This guide covers the full journey, from browsing job-ready talent to completing the hire. The whole process runs through the tabs on a single job: Available → Viewed → Shortlisted → Interview → Contract → Payment requests → Hired.

This short walkthrough covers the full hiring journey, from finding talent to completing the hire. The written steps below cover the same process in detail.

Browse job-ready talent

  1. From the left-hand menu, select Jobs → Job ads.

  2. Open the relevant job.

Select the Job ready talent button to view candidates matched to your role.

You can also open a job's applicants from the job ads list via the menu → View Job Applicants.

Candidates are matched to your role by ANZSCO code (the Australian and New Zealand Standard Classification of Occupations) and shown under the Available tab.

Screen anonymised profiles

Candidate profiles are anonymised so you screen on skills and experience rather than personal details. Open a candidate from the Available tab to view their profile, which covers:

What you'll see

Review terms and schedule an interview

Each partner sets their own engagement terms (for example, a fixed fee or a percentage of wages), so review these before interviewing.

  1. On the Shortlisted tab, select Schedule interview in the Action column.

2. In the Review Partner & Engagement Terms window, review the partner details, select Read full engagement terms, and check the Service fee.

3. Select I accept the terms and conditions to proceed.

Accepting the terms is what unlocks the interview stage.

4. On the Schedule Interview page, choose a date and time, add any notes for the candidate, and send the request.

The candidate receives a notification and can accept or decline. Once accepted, they move to the Interview tab.

Join the interview

On the day, go to the Interview tab and select Join interview for the candidate. Meetings are recorded, with transcripts available to you and the partner.

You can schedule further rounds if needed. Once you're happy with the candidate, prepare the contract.

Prepare the contract details

  1. On the Interview tab, select the menu in the Action column → Prepare contract.

2. In Prepare contract details, confirm the annual gross salary and the tentative joining date, then select Continue.

These details are used for invoice generation after hire, so check them carefully.

Create, sign, and send the contract

  1. On the Create contract screen, set the Template Title and edit the contract content. Use the Macro fields (such as {Applicant Name} and {Position Title}) to auto-fill details.

  2. Select Save & Continue.

3. Choose who will sign and add the required fields (Signature, Date and Time, etc.). The contract is ready for you to sign first, then it's sent to the candidate and saved automatically.

The candidate now appears under the Contract tab, where you can track the Contract to payment process.

Once both parties sign, a payment request is generated automatically.

Request for funds and completing the hire

When the contract is signed and accepted, a request for funds is sent to you. View it under the Payment requests tab, or via the menu → View payment request on the Contract tab.

Important: Funds will be held until the candidate starts their employment in Australia, at which stage the funds will be transferred to the talent mobility partner.

Once funds are released and employment begins, the candidate moves to the Hired tab and the hire is complete.

Troubleshooting

I can't see the Job-ready talent option

Job-ready talent is only available within an individual job. Go to Jobs → Job ads, open the job you're hiring for, and you'll find the Job-ready talent option there.

I can't schedule an interview with a candidate

Before you can schedule an interview, make sure you've accepted the partner's engagement terms. Open the candidate, review the engagement terms, and accept them. The interview scheduling option will then become available.

The candidate hasn't appeared under the Interview tab

Make sure the candidate has accepted your interview request first. Once the request has been accepted, the candidate will automatically appear in the Interview tab.

I can't prepare or send a contract

Contracts can only be prepared after the interview has been completed. Once the interview is finished, open the menu from the Interview tab and select Prepare contract.

A payment request hasn't been generated

Payment requests are automatically created after both parties have signed the contract. Check the Contract tab to confirm both signatures have been completed. If they have and a payment request still hasn't been generated, contact your Customer Success Manager.

When are the funds released to the partner?

Funds are released once the candidate starts employment in Australia. No action is required. After the candidate's start date, the funds are transferred automatically and the candidate will move to the Hired tab.

The interview recording isn't showing

Interview recordings may take a short time to process after the interview ends. Refresh the Interview tab after a few minutes. If the recording still isn't available later, contact your Customer Success Manager.
