Step 1: Wudpecker fetches your upcoming meetings
When you're first signing up, Wudpecker asks to integrate with your calendar so that the Notetaker bot can automatically fetch and join your scheduled meetings.
In the Upcoming Calls page, you will see the meetings that Wudpecker will join to record (whether it's a Zoom, Google Meet or MS Teams call).

How to make Wudpecker recognize your meetings
Wudpecker joins your meetings through a calendar event based on the meeting link and the event start time.
Double check that your meeting has a virtual joining link in the location and that the time and date are correct.

Step 2: Wudpecker joins your meeting
When you start the meeting on time, you'll see the notetaker waiting in the lobby. You or the meeting host has to admit it in the call (on Zoom, there might be some extra steps).
When you see the notetaker in your meeting as a participant, that means Wudpecker is doing its job to record the conversation.

Not seeing the Notetaker anywhere?
Once the scheduled meeting time starts, the Notetaker waits to get admitted in the lobby for about 5 minutes. If it doesn't get admitted in that time, it takes the hint and gets out of the way.
If you join the meeting after that, you have the option to Invite the Notetaker back to your meeting, or record without a bot with our apps. Read more about them below.
Step 3: The results
Shortly after the meeting, you will see the finished result: the AI summary along with a transcript and an audio recording.
Additionally, you can ask AI any questions regarding the meeting in the chat.
You can always find each call later in My Calls or a Collection you've created.

How can I share the notes and audio?
You can share a simple read-only version of the notes (and audio) to anyone by copying the URL link.
Alternatively, you can share the notes to another Wudpecker user's account. That way, they'll have their own copy of the notes which they can freely edit without affecting your original version.

Can I automate the Notetaker joining all meetings?

Can the Notetaker be kicked out if I don't want it in the meeting anymore?
Yup! If it's still in the lobby, Deny admitting it in. If it's already in the meeting, find it in the participants list and kick it out.
