Adding space pricing

Space pricing determines the amount your members and prospects pay for spaces per hour, per day, and per month. When adding space pricing, you can also select whether internal users, members, or prospects can book spaces using the booking calendars and how far out they can book.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

To add space pricing

  1. Select Spaces in the top menu and then List from the drop down.

  2. Locate the space in the grid and click the space's name. The Space Contracts screen appears.

  3. Select Setup in the side menu and select the Pricing tab.

  4. Click the Edit button.

  5. Complete the Pricing fields. For field descriptions, see the Pricing Screen Reference at the end of this article.

  6. Complete the Online Bookings fields. For field descriptions, see the Online Bookings Screen Reference at the end of this article.

  7. Click Save.

TIP: The next step in the Kube space setup process is to set the space credit value, should your organization use credits. For more information, see Assigning a credit value for a space.

Pricing Screen Reference

Hourly

Retail Price: Price that prospects and members in retail pricing groups pay for hourly bookings. Also, the price Kube uses to calculate 15-minute and 30-minute retail pricing booking prices.

NOTE: If the property the space is at uses off-peak pricing, you can set unique pricing for off-peak times.

A pricing group is a group you add members to that automatically gives them a specified discount off either the retail or member space pricing. All members and prospects are automatically assigned to the standard retail pricing group.


Member Price: Price that members in member pricing groups pay for hourly bookings. Also, the price Kube uses to calculate 15-minute and 30-minute member booking pricing.

NOTE: If the property the space is at uses off-peak pricing, you can set unique pricing for off-peak times.

A pricing group is a group you add members to that automatically gives them a specified discount off either the retail or member space pricing. All members and prospects are automatically assigned to the standard retail pricing group.


Allow 15-Minute Bookings: Determines whether members and prospects can book spaces in 15-minute intervals. You must set a retail or member price to enable 15-minute bookings.

CAUTION: If your property uses peak and off-peak hours and you do not enable 15-minute bookings, your members and internal users may not be able to make certain bookings around the time that hours of operation shift from peak to off-peak.

For example, let's say 15-minute bookings are not enabled but 30-minute bookings are, and the property's peak hours end at 5:00 (when off-peak hours start). If a member makes a 30-minute booking from 4:45 to 5:15 (30 minutes), Kube prevents them from making the booking because it counts the reservation as 15 minutes of peak time and 15 minutes of off-peak time, which is not allowed due to 15-minute bookings not being enabled.

NOTE: The price for 15-minute bookings calculates from the retail or member hourly booking price, depending on the pricing group.

TIP: To allow 45-minute bookings, you must also allow 30-minute bookings. Often, internal users are allowed to make 15-minute bookings, while members and prospects are limited to hourly bookings.


Allow 30-Minute Bookings: Determines whether members and prospects can book spaces in 30-minute intervals. You must set a retail price to enable 30-minute bookings.

CAUTION: If your property uses peak and off-peak hours and you do not enable 30-minute bookings, your members and internal users may not be able to make certain bookings around the time that hours of operation shift from peak to off-peak.

For example, let's say 30-minute bookings are not enabled and the property's peak hours end at 5:00 (when off-peak hours start). If a member makes a 60-minute booking from 4:30 to 5:30 (60 minutes), Kube prevents them from making the booking because it counts the reservation as 30 minutes of peak time and 30 minutes of off-peak time, which is not allowed due to 30-minute bookings not being enabled.

NOTE: The price for 30-minute bookings calculates from the retail or member hourly booking price, depending on the pricing group.

TIP: Often, internal users are allowed to make 30-minute bookings, while members and prospects are limited to hourly bookings.


Allow Half Day Bookings: Determines whether a space has special pricing for the hours specified as the first half and/or the second half of the day. For information on enabling half day pricing, see Enabling half day space pricing.

For example, let's say the first half of the day has been priced at $75.00 for the hours of 8:00 AM to 12:00 PM. A second half of the day has not been set. The hourly price of the space has been set to $50.00. A booking is made for the hours of 8:00 AM to 10:00 AM. This example booking does not meet the half day hours and therefore is charged at the hourly rate. Another booking is made for the hours of 8:00 AM to 3:00 PM. This booking is charged at the rate of $75.00 for the hours of 8:00 AM to 12:00 PM and then the hourly rate of $50.00 for the hours of 12:00PM to 3:00PM (3-Hours) totaling $225.00.

CAUTION: Half day pricing does not take into consideration off-peak pricing. For the example above, the hours of 8:00AM to 12:00PM would be subject to the half day price, but the hours of 12:00PM to 3:00PM would follow off-peak pricing if off-peak pricing is set. NOTE: Half day pricing follows the hourly pricing's Who Can Book This Space. In some cases, internal users are allowed to make hourly bookings, while members and prospects are limited to daily or monthly bookings.


Maximum Retail Price When Booking Hourly: Sets the space's maximum daily cost when booking hourly for members and prospects paying retail pricing.

NOTE: Once a member's or prospect's hourly booking cost meets this amount, additional hours added to the booking for that day do not increase the booking cost.

Minimum Booking Duration: Sets the minimum number of hours the space must be booked.

NOTE: If you do not have a minimum booking duration for your space, set this option to zero.

Daily

Retail Price: Price that members and prospects in retail pricing groups pay when booking a space for the entire day.

NOTE: The duration of a day is determined by the property hours. If a property is open 24/7, a day is defined as 24 hours. If a property is open specific hours, a day is defined as the number of hours from the opening peak time to the closing peak time or, if the property has off-peak times, from the opening peak time to the closing off-peak time.


Member Price: Price that members in member pricing groups pay when booking a space for the entire day.

NOTE: The duration of a day is determined by the property hours. If a property is open 24/7, a day is defined as 24 hours. If a property is open specific hours, a day is defined as the number of hours from the opening peak time to the closing peak time or, if the property has off-peak times, from the opening peak time to the closing off-peak time.

Monthly

Retail Price: Price that prospects and members in retail pricing groups pay when booking a space for an entire month through a contract.

NOTE: Monthly pricing must be set to include a space in a contract.


Member Price: Price that members in member pricing groups pay when booking a space for an entire month through a contract.

NOTE: Monthly pricing must be set to include a space in a contract.


Renewal Price: Price applied to spaces when renewing a contract through an End of Term Renewal, and a Renewal Workflow has been set up. For more information, see Adding a renewal workflow.

Market Price: Price used for reference when making pricing decisions when creating, amending, or renewing a contract.

NOTE: This pricing option only appears if your organization is subscribed to the Pricing Management service.

Who Can Book This Space

Determines who can make short-term space bookings using the booking calendars.

CAUTION: You must include pricing for the durations you want to allow admins, members, or prospects to book.

NOTE: If the Admin option is selected, internal users can make space bookings for the selected duration using the Bookings Menu. If the Member option is selected, members can make space bookings for the selected duration using the Member Portal Bookings Menu. If the Prospect option is selected, prospects can make bookings through the Prospect Portal Bookings Menu. If no options are selected, the space can only be booked through a contract, should the space include monthly pricing.

If none of your organization's spaces are bookable by prospects, the Prospect Portal hides the Reserve a Space section. If the same is true for members, the Member Portal hides the Bookings section.

You can control how far into the future members and prospects can book using the How Far Out options below.

Online Bookings Screen Reference

How Far Can a Member Book Out

Select how far into the future you want a member to be able to book this space using the Member Bookings Calendar. You can also customize the buttons the member sees when booking this space.

NOTE: The Book Now button appears when the member can book the space. The Inquire button appears when the member cannot book the space because the booking is too far into the future. In this case, they can click the Inquire button to request more information about the space. For more information, see Inquire function overview.

If you only want the member to be able to request more information about the space, enter '0' in the quantity field. The only option the member sees is the Inquire button (or a button with the text you customized) that sends an email to the property with the member's contact information.

How Far Can a Prospect Book Out

Select how far into the future you want a prospect to be able to book this space using the Prospect Bookings Calendar. You can also customize the buttons the prospect sees when booking this space.

NOTE: The Book Now button appears when the prospect can book the space. The Inquire button appears when the prospect cannot book the space because the booking is too far into the future. In this case, they can click the Inquire button to request more information about the space. For more information, see Inquire function overview.

If you only want the prospect to be able to request more information about the space, enter '0' in the quantity field. The only option the prospect sees is the Inquire button (or a button with the text you customized) that sends an email to the property with the prospect's contact information.

Publish to Yardi ILS

If your organization uses a Yardi Internet Listing Services (ILS) subscription, select this option to publish the space on your Yardi ILS subscription for potential customers to see.
