Canceling a booking

A booking is a reservation for a specific space for a set time and date. After you create a booking, it can be cancelled. If you need to cancel a monthly booking, terminate the contract. For more information, see Bookings menu screen overview and Terminating a contract.

This article explains the process for canceling a booking. Depending on the type of payment method used in the original booking, Kube performs certain accounting tasks when you cancel the booking. For more information, see Canceling a booking accounting overview.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • Credit and debit card processing fees are non-refundable once a payment settles. If you cancel a booking that was paid with a credit or debit card and the payment is labeled Settled on the Payments screen, Kube voids and refunds the original payment amount.

  • If the payment is labeled Authorized and has not settled, Kube cancels the original payment, and Yardi payment processing refunds the booking cost and the processing fee.

  • If your country does not support payment processing or the service is not enabled, you cannot use the Pay Now option. Instead, you can use hours/credits, Bill Later, or Invoice Now. For more information, see Payment processing off overview.

  • You can cancel a booking in the past up until the last day that the Reset Hours/Credits/Coworking Passes & Add Future Bookings scheduled task ran. For more information, see Scheduled Tasks.

  • If you cancel an hours/credits booking and Kube refunds hours/credits, Kube automatically applies those hours/credits to future bookings that use Bill Later. For more information, see Booking automatic adjustment overview.

To cancel a booking from the bookings menu calendar view

  1. Select Bookings in the top menu.

  2. Select Calendar View towards the upper left of the screen.

  3. Locate the booking and click the name of the booking. The booking details window appears.


    NOTE: If the space allows simultaneous bookings, the Booking List appears. Locate the booking on the list and either click the eye view booking button, then Cancel Booking, or click the red trashcan button to cancel the booking. Go to step 4.


    TIP: You can use the property filter at the top of the screen to switch between properties. You can also use the Date Picker button to select the date the booking occurs on.


  4. Click Cancel Booking. A confirmation prompt appears. Click Yes.


    NOTE: If the booking is subject to a cancellation fee, first make a selection and then click Yes. For more information about adding a cancellation fee, see Adding a space cancellation policy and fees.


    TIP: Click the Cancel All Recurring button to cancel all future bookings in a recurring booking series. Kube does not cancel bookings in the series that have already occurred.


To cancel a booking from the bookings menu card view

  1. Select Bookings in the top menu.

  2. Select Card View towards the upper left of the screen.


    NOTE: You can only cancel Hourly bookings from the Card View.


  3. Locate the booking and hover over it. The booking details tooltip appears.


    NOTE: If the space allows simultaneous bookings, the Booking List appears. Locate the booking on the list and either click the eye view booking button, then Cancel Booking, or click the red trashcan button to cancel the booking. Go to step 4.


    TIP: You can use the property filter at the top of the screen to switch between properties. You can also use the Date filter to select the date the booking occurs on.


  4. Click Cancel Booking. A confirmation prompt appears. Click Yes.

To cancel a booking from the company's booking menu

  1. Select Customers in the top menu and select Companies from the drop-down menu.

  2. Locate the company in the grid and click the company's name. The Company Essentials window appears. Click Detailed View.

  3. Select Bookings in the side menu. The Manage Bookings screen appears.


    NOTE: If you do not see the booking, use the date and property filter at the top right to search on different dates and at different properties.


  4. Click the three dot additional options button on the far right next to the booking.

  5. Select Cancel Booking. A confirmation request appears. Click Yes.


    NOTE: If the booking is subject to a cancellation fee, first make a selection and then click Yes. For more information about adding a cancellation fee, see Adding a space cancellation policy and fees.


    TIP: Select the Cancel All Recurring option to cancel all future bookings in a recurring booking series. Kube does not cancel bookings in the series that already occurred.


To cancel a booking from the member's booking menu

  1. Select Customers in the top menu and select Members from the drop-down menu.

  2. Locate the member in the grid and click the member's name. The Member Essentials window appears. Click Detailed View.

  3. Select Bookings in the side menu. The Manage Bookings screen appears.


    NOTE: If you do not see the booking, use the date and property filters to search on different dates and at different properties.


  4. Locate the booking from the list and click the three dot additional options button.

  5. Select Cancel Booking from the drop down menu. A confirmation request appears. Click Yes.
