The contract approval process allows you to require approval for contract tasks that internal users complete. You can set up operator approvals (for all of your properties) and individual property approvals. For each approval that you add, you can select the internal user or users who must approve the task. Kube notifies the approvers by email when an internal user requests their approval.
When an internal user is ready to request approval for a contract or amended contract, they can send a request to approvers. If they try to advance a contract or amended contract through a stage gate, or approval step, without approval (when required), the activate options will be grayed out until the approval conditions are met.
NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.
To request contract approval
Select Customers in the top menu and select Contracts from the drop-down menu. The Contracts screen appears.
Locate the contract in the grid and click the contract's name. The contract's Terms & Company screen appears.
NOTE: If you need to create a contract, see Creating a contract.
If the approval condition is for the communication stage, Kube grays out the Activate options until the approval is completed. Otherwise, skip to step 4.
Select Communicate in the side menu.
Choose the communication method.
Click Request Approval. The Approvals Required screen appears.
Enter internal notes in the Notes to Approver section.
Click Request.
TIP: If you do not know what triggered the approval and your assigned role allows you to review workflows, hover over the tooltip to see the workflow's ID. For more information, see Contract approval flow overview.
Kube sends an email to the approvers, alerting them to your request.
If the approval condition is for the activation stage, select Activate in the side menu.
To view the approval history, select History in the side menu. For more information, see Reviewing contract details and history.
NOTE:
You can only request approval for applicable stage gates. For example, if the contract has been activated, the Request Approval option only appears on the Terminate and Notice to Vacate menus when applicable. Otherwise, if the contract has not been activated, the Request Approval may appear on the Discard menu.
Multiple approvals for different approval criteria may be out for approval at once. All approval criteria must be approved before the next stage gate becomes available.
TIP: Once approval has been requested for a stage gate, the Request Approval button updates to Actions. From this menu, if you are not an approver, a Remind button appears. For more information, see Sending a reminder for a contract approval. If you are an approver, the Approve and Reject buttons appear.
