Guide to use warehouse reconciliation sheet

The warehouse reconciliation sheet is created with the purpose to bridge the communication gap and create an efficient flow of information between your warehouse and customer support team (The team processing refunds via yayloh)

Note- The warehouse reconciliation sheet is shared as a link to a google sheet. Please share a list of email IDs that should have access to the sheet to support@yayloh.com.

In this article, you will find,


The format of the sheet

  1. The sheet is divided into 2 main sections

    • Return data that is imported from the yayloh system column (D to O).

    • The section where the warehouse team can leave comments and mark the return as inspected column (A to B).

  2. You can only edit columns A and B. All other columns are imported from the yayloh system.


Marking returns as inspected and approving to process

  1. Open the warehouse sheet.

  2. You can search for the order or tracking number by using Ctrl + F or you can scroll down to find your order. The order and tracking number will be visible in the return packaging.

  3. Each product from one order that is returned is listed on a separate row one after the other.

  4. In the inspected, column, select "OK" or "NOT OKAY".

  5. In the inspection comments, you can write any additional comments that need to be added. Press Enter.

  6. Once you mark the returns inspected, a date stamp will appear in the last changed column.

  7. The sheet automatically updates the inspection details overnight onto the yayloh dashboard. It includes:

    • The warehouse inspection result ("ok" or "not okay") with the date when it was updated.

    • The comment, if any.

    Note- We update the ok/ not okay status to the platform overnight. We run night jobs, that update new return request rows and ok/not ok status as well.

  8. You can then proceed to process the return based on the inspection.
