Integrate your CRM system
CRM is a crucial part of business, especially when it comes to selling. By integrating your CRM with Zaplify, you will have a seamless experience as prospect data and actions from Zaplify will automatically transfer to your CRM system. In this article, we use Hubspot as an example, but you can also integrate Salesforce, Pipedrive, or Upsales. Please note that the person who setting up the integration to the CRM has to be a user in Zaplify due to security reasons.
Now let's guide you through how to set it up and how it works!
Connection and setup
Go to our integrations view to start setting up Hubspot: https://app.zaplify.com/integrations
Click "Connect" under Hubspot
After clicking "Connect", you will be directed to the Hubspot login page
A login screen will appear asking you to sign in to your CRM. The system will not ask for your credentials if you are already logged in
Under the Field mapping view, you will be presented with 2 types of records:
Map Zaplify fields to your desired Hubspot fields. Each field can be changed to a different field on your Hubspot side. The chosen fields allow you to determine which Hubspot field will get enriched by Zaplify.
Turn on "Create new Hubspot field for LinkedIn Profile URL" and "Create new Hubspot field for Zaplify prospect status" if you want to create new fields for these two data points. We recommend turning these on to make your data as usable as possible.
On the right side of the screen, you have the configuration view. Turn on/off each switch to your desired configuration.
1st switch - Synchronize prospects you add to your Zaplify campaigns to Hubspot
2nd switch - Synchronize touchpoints sent from Zaplify to the persons/companies in Hubspot
3rd switch - Include copywriting from the Zaplify touchpoints in the logs created by Zaplify
When a prospect is purchased in Zaplify it is synced to Hubspot (if the settings switch for this has been turned on). The synchronization mechanism will first try to find a matching Contact/Company in Hubspot and connect the Zaplify prospect with that if it exists. If the entity couldn’t be found in Hubspot, Zaplify will create a new Contact/Company in Hubspot.
When a contact is synced to Hubspot the Zaplify integration will assign the owner in Hubspot based on the email address in Zaplify. If Zaplify finds a Hubspot owner with the same email address as the user that has chosen a prospect in Zaplify, it will be the same user that becomes the owner in Hubspot. If Zaplify does not find a matching user, the Contact/Company will be created without an owner.
Zaplify synchronizes results from prospect searches to Hubspot, to check if a prospect/company in the results already exists in Hubspot. If a prospect/company exists, it will have an orange circle with a Hubspot logo next to its name. If a prospect/company doesn't exist, it will have a grey Hubspot logo next to its name.
When a touchpoint (eg. connection request or email) has been completed for a prospect in Zaplify, an activity is created in Hubspot on the contact that corresponds to that prospect (if the settings switch for this has been turned on). This enables the activity from your Zaplify account to be automatically synced to your CRM.
