How to use our text editor to craft your emails

Welcome to our comprehensive guide on maximizing the potential of Zaplify's text editor to elevate your email communication. Unleash the power of personalized messages and captivating designs to make a lasting impression on your recipients.


Email messages

Top menu options and buttons in Zaplify's text editor from left to right

Personal Tags: Use personal tags to personalize your emails with prospect data. Options are first name, last name, title, industry, and company name. We recommend adding at least one to increase the reply rate.

Video: Do you have a recorded sales pitch? Use the video button to add a thumbnail with a link to your video. Works with most services such as Loom, VidYard, Vaam, YouTube, and Vimeo.

By clicking the three dots, 2 more options will show:

  • Text color: Change the color of your text. Select the existing color or type in the HEX code of your desired color

  • Font Family: Choose between 6 different fonts: Arial, Georiga, Impact, Tahoma, Times New Roman and Verdana.

Clear formatting: If you have edited your text in different sources, copied and pasted back and forth, etc, it can be good to clear all formats and design the email directly in Zaplify to ensure that all text is in the same format.

Emojis: Use emojis to add some characters to your email. Remember that not all companies, and some email providers, do not allow emojis to be displayed - the emoji code will be displayed instead of the actual emoji.

Image: Add the image to your email, either by uploading an image or using an image source. Supported image formats are .jpg, .jpeg, .png, and .gif

  • Tips: To get full quality you should use an image source instead of uploading an image. So then you just need a link to the image.

Editing images: Explanations

Zaplify has powerful image editing capabilities. Let's go through what all the different editing options mean.

Align the image to the left, center, or right by using the align button in the top-left of the image menu.

Alternative Text is meant to convey the “why” of the image as it relates to the content of a document or webpage. It is read aloud to users by screen reader software, and it is indexed by search engines. It also displays on the page if the image fails to load, as in this example of a missing image.

Change the size of the image by dragging it in the image corner, or use the ruler in the popup menu to set an exact size.

Adding a signature

Besides adding a signature by writing your own in Zaplify and adding your styles, you can add a signature by copy-and-pasting your current signature from your emails. Just go into your email client (e.g. Gmail, Outlook), find a message where you have a signature, select it, and copy-paste it into Zaplify. This works for most signatures, some signatures are however formatted in a way that makes the styling break when pasting it to Zaplify. Reach out to our support if this happens and we will do our best to find a solution.


LinkedIn messages

The LinkedIn text editor is much more straightforward. Add personal tags and emojis like in the email messages. Note that if you want to add a picture, you can send a GIF as a link that will show as a picture in the message.
