Uploading prospects to Zaplify is a great way to kickstart your sales campaigns if you already have a list of prospects with contact details that you want to reach. By adding potential leads to the platform, you'll be able to efficiently manage and track your interactions, ultimately boosting your outreach success. In this guide, we'll walk you through the process of uploading prospects to Zaplify.

How to upload prospects

Step 1: Find the option to upload prospects

  1. Click "Create new campaign", or click "Add Prospects" on an existing campaign:

  2. Look for an option like "Upload Prospects" under "Prospects" in the navigation menu.

  3. Click on it to access the prospect upload section.

Step 2: Prepare Your Prospect Data

  1. Before uploading, ensure your prospect data is organized and in a compatible format. Common formats include CSV, XLS, or XLSX.

  2. Make sure your data includes relevant information such as name, company name, LinkedIn URL, email address, phone number, and any other essential details for personalized outreach.

    1. You must include First name, Last Name, and Company Name. This is to ensure that you don't accidentally use personalized tags in messages where data is missing.

  3. Make sure you use one column for each data type, i.e. one column for company name, one for LinkedIn URL, etc.,

  4. If you do not have the data, leave the data field empty

  5. Note that no enrichment will be made so make sure to include as much data as possible

Step 3: Uploading Prospects

  1. Click on the "Upload" button within the prospect upload section.

  2. A file dialog box will appear. Locate and select the prepared prospect file from your computer.

  3. Note that you can only upload max 500 prospects at a time as this will ensure it will be done correctly.

Step 4: Map Data Fields

  1. Once the file is uploaded, Zaplify will prompt you to map the fields in your file to the corresponding fields in the platform.

  2. This step ensures that the tool can correctly identify and categorize each piece of information.

  3. For example, match the "first name" field in your file to the "first name" field in Zaplify.

  4. Don't forget to match the LinkedIn URLs and Emails, as those two are crucial for doing outreach.

Step 5: Validate and Review

  1. Zaplify will perform a validation check to ensure data consistency and accuracy.

  2. Review the data preview to ensure that all fields are correctly aligned and that there are no errors.

Step 6: Start the Upload

  1. Once you're satisfied with the data preview, click the "Start Upload" button.

  2. The tool will initiate the upload process, importing and validating the prospects.

Step 7: Confirmation and Segmentation

  1. After the upload is complete, Zaplify will provide a confirmation message with successful and skipped prospects (see below), as well as formatting errors.

  2. Don't forget to finally confirm the upload to have your prospects added to your account.

  3. Please note that the campaign template is not based on data! So if you have uploaded a prospect list without LinkedIn URLs, it will still be possible to choose a LinkedIn campaign, but all those prospects will immediately be finished when starting the campaign.

What are skipped prospects?

When uploading prospects, Zaplify will analyze your upload and compare it with prospects that have been already added to existing campaigns in your and your teammates' campaigns. If a matching prospect is found, Zaplify will "skip" that prospect. This means that prospect will not be uploaded, since it already exists in Zaplify. This is done to prevent duplicates across your campaign, and most importantly to help you avoid reaching out to the same prospect from multiple campaigns at the same time.
