In the fast-paced world of modern business, staying connected with potential clients and customers is crucial for success. However, manually reaching out to prospects can be time-consuming and inefficient. This is where automated outreach tools like Zaplify come into play. Zaplify is designed to streamline your outreach campaigns and connect with prospects on your behalf. In this article, we'll explore how Zaplify's automated outreach function works and answer some common questions about its usage.

Background Automation:

When you launch a campaign with Zaplify, it goes to work in the background, running tasks and reaching out to people for you. This means you can close your computer, attend to other important tasks, and let Zaplify handle the outreach on your behalf. You can simply monitor incoming replies on LinkedIn or in your email inbox and continue the dialogue with interested prospects. Read below to get further insights into how the outreach works and what to expect.

Using LinkedIn While Zaplify is Running:

Zaplify does not prevent you from using LinkedIn while your campaigns are running. However, it is recommended to close all open LinkedIn tabs (not log out) during this time to ensure that your account stays within the limits set by LinkedIn. This will help maintain the effectiveness and efficiency of your campaigns.

Follow-up Messages on LinkedIn:

Follow-up messages on LinkedIn are sent only if a prospect accepts your connection request within the specified time frame after the initial touchpoint. If a prospect does not accept the connection request, Zaplify will skip the touchpoint that includes a follow-up message. This approach is designed to prevent overwhelming prospects with unnecessary messages and maintain a professional outreach process.

Prospect Replies and Campaign Halt:

When a prospect replies to one of your messages, the outreach campaign automatically stops for that individual. No more activities will be sent to that person from Zaplify. The platform verifies if you received a response in the next action, and if you have, it will halt further outreach to avoid redundant messaging.

Delay Between Connection Request and Follow-up on LinkedIn:

The delay between the connection request and the follow-up message on LinkedIn is the time given for the recipient to accept the connection request. If the prospect ignores or declines the request, the outreach will proceed to the email flow, continuing the campaign via email.

Prospect with No Email or LinkedInURL in a Campaign:

In order for a workflow to continue, the previous touchpoint needs to have been sent. This means that if a prospect does not have an email provided, Zaplify will not send email actions. The other way around is true for LinkedIn if the URL is unvalid or missing.

Example: The workflow starts with touchpoints on LinkedIn and continues on email. If the emails is missing, the outreach will be conducted exclusively on LinkedIn and stop when it reached the email stage. If the LinkedIn is missing or URL is unvalid, the prospect will in this case become finished right away in the campaign.

Running Multiple Campaigns:

Zaplify allows and encourages users to run multiple campaigns simultaneously. However, keep in mind that Zaplify limits the number of connection requests to 75 on a weekly basis to stay within LinkedIn's limitations. Therefore, running more campaigns will slow down the throughput (number of messages sent) per campaign, but the total throughput for all campaigns will remain the same.

Outreach Restrictions:

Zaplify limits the number of actions users can execute in their campaigns to comply with the guidelines and recommendations of third-party services it utilizes. This is done to prevent accounts from triggering spam filters and restrictions. The daily number of actions allowed depends on your plan, the outreach channels you use, and the number of prospects you aim to reach. However, Zaplify ensures that you always have access to as many actions as your plan provides.

Email Open Rate Tracking:

Zaplify does not track the open rate of your emails. While email open tracking can be valuable for understanding engagement, it often involves using tracking pixels, which can be flagged as spam by email servers. To ensure the best email deliverability, Zaplify has chosen not to include email open tracking.

Conclusion

Automated outreach with Zaplify offers a convenient and efficient way to connect with prospects. By running campaigns in the background and handling follow-ups and messaging automatically, Zaplify empowers you to focus on other important tasks while still engaging with potential clients. Understanding the platform's limitations and recommendations will help you make the most of your outreach efforts and maximize your results.
