Change another user’s password
If you’re a Super User for your 1Place account, you can update other users’ details (and reset their password) in the ‘Users’ work area.
To reset a password for one user, find them using the ‘User’ filter tool.
Your local system’s user details can be filtered by First Name, Last Name, Email address, Status or Profile.
You can use this filtering tool to find one user, or multiple users.
The Action buttons will then allow you to:
Edit the user’s details
Change the user's password
Email the user to change their password
All of these actions can also be achieved by clicking on the user's first name, entering the record and clicking the green buttons as per below.
To change their password, click on “Change Password” button.
It will then take you to the page where you can reset the user’s password.
To reset another user’s password, enter a new password for the user according to your organisation’s password policy.
Before saving, please ensure that OTP Email Verification is set up in your Email Settings. Once the new password has been entered, click Save.
You will then be prompted to enter the 6-digit verification code sent to your email address.
If you are a Super User or have permission to reset team members’ passwords, you can do so without entering your own password. Instead, a verification code will be sent to your email address for confirmation.
This is particularly helpful if your team uses a dummy email address for login, or if you access 1Place through Single Sign-On (SSO) and do not regularly use a 1Place password.
Once you reset their password, the user can login with the username and the password you just set up for them on their mobile app, PWA (https://app.1placeonline.com) or the web (https://secure.1placeonline.com).
Setting Up Recovery Email Address (OTP Email Verification)
If you encounter an “Invalid Email” warning while resetting a user’s password, please follow the steps below:
Go to the Settings tab.
Navigate to Email Settings and select Email Configuration.
In the OTP Verification section, enter your active recovery or alternative email address where the verification codes will be sent.
Click Save.
You should now be able to proceed with resetting another user’s password.
Note:
Email addresses using the domains @1placeonline.com and @1placeusers.com may not be accepted for OTP verification.
Reset multiple users' passwords
When you want to reset multiple users' passwords, please follow the steps below. Please note that you can only set a temporary password for them when changing password for multiple users at one time. (i.e. the user will be required to set their own password after they enter the temporary password you set up for them).
Settings > "Users" > “Update Passwords”:
Move all the users that you want to change the password from the left box to the right, then create a new temporary password for them, then press green 'Apply' button:
You will then be prompted to enter the 6-digit verification code sent to your email address. Once done, click Confirm.
These users will now be able to log in using their new password.
Enable password update for (non-Super) Users
By enabling the "Allow Update Other User's Password" in User Permissions in the Profiles Setting, the responsibility of changing the password can now be shared among other Users.
When this Permission is enabled, the current User can reset the passwords of other Users with a Profile that sits lower in the Hierarchy.
For example, if your 'Centre Manager' has access to update other Users' password, they can only update passwords for Users with the 'Educators' or 'Survey Profile'.
On the Settings > Users page they will see 2 'Actions':
Key Icon - this will take the User to the password reset page
Envelope Icon - this will send the affected User an email with link to reset their password.
