When Publishing your Template for the first time, you will need to complete the Publish Wizard which contains of 3 steps. In step 4 you can decide to create a Schedule, Survey, or go back to the Checklist Template screen.
Step 1 - General;
Checklist can be assigned to - The dropdown will list the options of 'Center Only', 'Rooms Only' and 'Center & Rooms'. The value you set here will determine what you can create your Schedule or Survey for, or potentially what the User can assign the Checklist to via the '+' button on the Mobile App / PWA.
Restrict use via Schedule, Survey or Ticket only - Ticking this option will hide the Checklist if Users tap on the '+' button via the Mobile App / PWA. It ensures Users access the Checklist via the correct method.
Show all groupings on a single page (App) - When this is ticked, all questions and Groupings will be displayed in a long vertical list. This can cause quite a lot of scrolling for the User and is not recommended.
Hide Group Photos - This option will ensure y our Users are more likely to add photos to the relevant questions, rather than at the bottom of the Checklist Grouping.
Hide question numbers - Some Checklists have their own numbering which is captured in the question labels. In that case it is useful to turn of the system's question numbering (EG Q1 / Q2 / Q3).Allow Favourites - Ticking this option will display the “Keep in Favorites?” checkbox on the user’s end, allowing them to save the answered checklist to their Favorites section.
Allow Sending Email - Enabling this option allows users to send their completed checklist to a specific email address. Once selected, a pop-up window will appear where they can modify the email details before sending.
Step 2 - Access;
In this section you select the Profiles that need:
1. Visibility: Select which profiles should have view access, complete checklist access, etc.
You can set specific user groups to have view-only access to checklist templates without allowing them to accidentally modify checklists. With this option, you have granular control over who can view versus who can edit. You can also manage this setting under Settings > Profile > Checklist Permissions.
2. Completion Access: Profiles that are allowed to complete the checklist template.
3. Edit Permission: Profiles that can edit the checklist template itself.
4. Scheduling Access: Profiles that are allowed to create and edit a schedule or survey for this template.
Step 3 - PDF Report;
Logo - If your organisation used multiple logos for different locations, you can choose here which logo to use. To upload additional logos please refer to the following article:
Layout - If you have created a custom Checklist PDF Layout you can select it here. For more information on how to create a Checklist PDF Layout please refer to the following article:
All other settings will depend on the fact if a Layout is being used, but otherwise you can determine what gets printed and how.
When you've completed Step 3 your Template will be Published.
Step 4; Schedule / Survey
In this final step you can choose to:
- Create a Schedule
- Create a Survey
- Go back to the Checklist Templates screen
