When you launch an automated campaign, it only looks forward. To send gifts for milestones that happened before your launch date, you’ll need to initiate a manual "Send More" action.
How to Send a Retroactive Gift
The process is the same for Birthdays, Anniversaries, and New Hire gifts.
1. Navigate to the Campaigns Tab: Find your active automated campaign.
2. Click "Send More": Hover over the campaign and select the blue Send More button. This allows you to use your existing settings to send a one-off gift.
3. Adjust the Budget: Ensure the budget matches the specific milestone you are honoring (especially important for tiered Anniversaries).
4. Update the Greeting (Important!): Since this is a past event, you may want to change the message to "Happy Belated!"
⚠️ Warning on the
@yearstag: This tag always pulls the current year. If you are sending a gift for a previous year's milestone, remove the@yearstag and type the year manually to avoid confusion.
5. Add Your Recipients: Upload your list of missed recipients. If multiple people have the same milestone/budget, you can add them all to this one send.
6. Review & Send: Verify your summary and hit Send Gifts!
How to Identify "Missed" Recipients
If you aren't sure exactly who was missed before your campaign launch, you can use the Projections Report to find them.
1. Export the Report
Go to the Billing tab and export the Projections report. This spreadsheet shows every recipient scheduled for a gift within the next year based on their data.
2. Filter for Past Dates
In your exported spreadsheet, look at the "Event Date" column:
Remove future dates: Delete anyone whose milestone happens after your campaign launch date.
Keep past dates: The remaining names are the people who missed their window and need a retroactive gift.
3. Group by Budget
To make your manual sends faster, sort your spreadsheet by "Budget." This allows you to see exactly how many $50 gifts you need to send versus $100 gifts, so you can process them in batches.
