In this article, we'll guide you through the simple steps of adding an asset to your restaurant's virtual inventory so data like spending and the number of service requests on each asset can remain updated and accurate.

Adding a New Asset

Step 1: Login to the App

The first step in the process is to log in to the 86 Repairs app.

If you're unable to login, try these troubleshooting steps or contact customer support via chat for assistance.

Step 2: Navigate to the Equipment Tab

Once logged in, navigate to the "Equipment" tab on the bottom of the screen. This is where you'll find the tools and features necessary for managing and updating your restaurant's assets.

Step 3: Click the Blue Plus Sign Button

Locate the Plus Sign button in the bottom right corner and give it a click. This action initiates the "Create Equipment" workflow.

Step 4: Select the Location

Click the location that the asset is located at. A blue checkmark will appear next to the location's name when it has been selected.

Click the blue "Next" button on the bottom of the screen to move to the next step.

Step 5: Name the Asset and Add the Asset Information

Name the asset, select what kind of equipment it is, and select why you're adding the asset to your inventory.

Note that the "Equipment Type" will determine which vendor options populate when that asset needs service.

πŸ’‘ TIP: Does your team frequently refer to the asset in a special way, like the Salad Cooler or the Dessert Freezer? Put that common name in the "Equipment Title" box to make it easier to find when searching.

After completing the initial information, click "Next" to proceed. This will prompt you to provide more specific details such as photos of the unit and the manufacturer/model/serial (MMS) information. That MMS information is used by the 86 Repairs system for warranty checks and purchase pricing.

If any of the information is illegible or not present, select "Illegible" or "Missing" as the answer.

Other manufacturers us abbreviations, like "MOD" for "Model" and "S/N" for "Serial."

If you're unsure which number is which, consult the asset's manual.

Step 6: Add Photos

It's highly recommended to include a photo of the unit and of its MMS tag. When you click on the grey plus signs, you'll be prompted to select how you'd like to add the photos.

If you already have a picture of the asset on your phone, select "Browse files."

If you're in front of the unit, select "Open camera roll" to take a picture and upload it.

Did the photo turn out blurry? Select "Take a new photo" to replace the one on file.

Step 7: Review and Submit

As a final step, review the asset information submitted, including the location, MMS, and photos added. If everything looks correct, click the blue "Submit" button on the bottom right to add the asset to your inventory.

Editing Asset Information

If you made a typo or received updated information on the asset, you can edit the information without having to delete the original.

Step 1: Click on the Equipment Tab and Add Filters

To make it easier to find the asset you need to edit, you can either search for the name using the search bar, or you can add filters using the filter button on the top right corner of the screen. You can then sort by service category, location, percent of spend, and warranty eligibility.

Once you've selected the filters you need, click "Apply."

Step 2: Locate the Asset

Photos of the assets that match the filter settings will appear, as well as their name, service category, and serial number.

Once you've found the asset you need to edit, click on the icon. You will be taken to the asset page.

Step 3: Edit and Submit

You can edit the asset information from the asset page by clicking the pencil icon in the top right corner. You'll then be brought to the edit screen.

Click on the bubble at the top of the screen that corresponds with the information you need to edit.

The asset's name, purchase date, and purchase price can be edited on the Details tab.

The manufacturer, model, and serial number can be edited on the Manufacturer tab.

If you would like to adjust the NTE amount communicated with vendors for the asset or mark the asset as having blanket OT approval, you can update that information on the Spending tab.

Once you've updated the necessary information, click "Submit" to save your changes.
