To use Apricot Schedule, each user must sync their external calendar account. This allows appointments created in Apricot to appear on your calendar and helps prevent scheduling conflicts. Supported providers include Apple iCloud, Google, Office365, Exchange, and Microsoft Outlook.
You only need to sync your calendar once. After that, your Apricot calendar will stay up to date automatically.
Step 1: Connect your calendar
To sync your calendar, expand My Apricot Tools from the navigation bar and click Schedule. If you haven't added a calendar account yet, you’ll see a prompt to sync an account.
Click the text and choose your calendar provider from the list. You’ll be redirected to sign in and authorize Apricot (via Cronofy) to access your calendar. Once the connection is complete, you’ll return to Apricot and your calendar will begin syncing.
If you're already signed in to your calendar provider in your browser, authorization may happen automatically. Otherwise, follow the login and approval prompts.
Step 2: Confirm your sync status
Once your calendar is synced, appointments created in Apricot will appear both in Apricot and in your external calendar. You’ll also see existing events from your external calendar appear in Apricot’s Schedule view.
Note: Appointments created in external calendars can be viewed in Apricot, but they cannot be edited or deleted from within Apricot.
Step 3 (optional): Edit or sync additional calendars
To manage your synced calendars, click the three-dot icon (or the kebab menu) at the top-right corner of the My Calendars page and click Add Calendar.
From here, you can either click the "Add calendar account" button to sync another calendar or click "Edit accounts" to remove an existing calendar.
Step 4 (optional): Enable video conferencing integration
After syncing your calendar, you can optionally connect a video conferencing account (e.g. Zoom, Microsoft Teams). When enabled, any appointment created in Apricot will automatically include a meeting link in the "Location" field. This is helpful when you want participants and other staff attendees to receive an auto-generated link without manual setup.
On the same Add Calendar tab, click the text to sync your video conferencing account and follow the login and approval prompts.
