Understanding Apricot Schedule

Apricot Schedule is an integrated calendar feature that allows users to create and manage participant appointments within Apricot. When users sync their external calendars (Google, Microsoft, Apple), appointments created in Apricot will appear on both calendars, helping staff stay organized and avoid double-booking. Staff can also manage their availability, view their own or others' calendars, and coordinate appointments with participants directly in the system.

Before Apricot Schedule can be used, an Administrator must configure it by selecting one or two Tier 1 forms as participant sources and identifying the name and email fields. Once setup is complete, users can begin scheduling appointments for participants whose records live in those forms. If participants have valid email addresses, they will receive calendar invites automatically, including links to video conferencing if enabled.

Appointments can be scheduled through the main calendar view or directly from a participant’s Document Folder. Users can view their own calendar by default and toggle other staff calendars on or off, provided those users have synced their calendars. All appointments are color-coded and can be viewed by day, week, or month. Appointments created in Apricot can be edited or deleted; events created in external calendars are view-only.

Participant-specific appointment history and upcoming meetings can be accessed from the Appointments tab in their Document Folder. This provides a quick overview of previous interactions and helps staff plan follow-ups.

Feature Availability

Apricot Schedule is available to all Apricot Pro and Apricot Enterprise customers.

Limitations

  • Administrators can configure a maximum of two Tier 1 forms for use with Apricot Schedule.

  • Only appointments created in Apricot can be edited or deleted within Apricot.

  • Imported events from synced calendars are view-only.

  • Participants must have an email address to receive calendar invitations.
