Meter Readings offer you the ability to conduct maintenance for a set period of time or distance travelled.

Step 1: Create Meter-Based Maintenance Types

Meter-based maintenance types help you schedule servicing based on usage rather than time. To create these:

  1. Navigate to System Setup > Maintenance Types.

  2. Click Add Maintenance Type.

  3. Enter a Name (e.g., "50-Hour Service" or "1000 km Check").

  4. Set the Period Type to Meter-Based.

  5. Specify the Unit (e.g., hours, kilometres, miles).

  6. Define the Interval (e.g., every 50 hours or 5000 miles).

  7. Save your settings.

Your maintenance type is now set up to trigger when an item's meter reading reaches the specified interval.


Step 2: Adding maintenance to a product

To use the Meter reading maintenance on a product, you will need to:

1. Go to Products

  1. Select your Product

  2. Edit your product

  3. Go to Additional Information

  4. Here you can add your Maintenance type

2. Check your assets

1. Click on one of your asset levels

2. Go to the Maintenance types page


Step 3: Updating Meter Readings

Meter readings can be updated in multiple ways, ensuring accurate tracking. Here’s how:

1. Directly from the Stock Level

  1. Go to Stock and select the relevant item.

  2. Locate the Meter Readings section.

  3. Enter the latest reading and save.

2. During Dispatch, Booking Out, Return Requests, and Item Returns

  1. When processing a dispatch, booking out, or return:

    • The system will prompt for a meter reading.

    • Enter the updated reading before proceeding.

  2. This ensures accurate tracking at every stage of the rental process.


Step 3: Accessing Meter Reading History

Tracking meter readings over time helps monitor usage patterns and servicing needs. To view an item’s meter history:

  1. Go to Stock and select the item.

  2. Click on the Meter Readings tab.

  3. Review the full history, including:

    • Previous readings

    • Date and time of updates

    • Who entered the readings

    • Source of the reading (e.g., dispatch, return, works order)

This history provides valuable insights into an item's usage and maintenance trends.


Step 4: Meter Reading Maintenance is Due

Now that we have met the criteria of our meter reading and it's gone to Maintenance due, we will need to carry out maintenance.

  1. Go to Products and Services

  2. Head to Maintenance Due

  3. Here you'll see your product

  4. click the drop-down for that product

  5. Carry out Maintenance


Your Mobile user can also set meter readings

You will need to create an order and dispatch it using that driver.

  1. Go to the Dashboard

  2. Click on deliveries for today

  3. Select the corresponding order

  4. Sign Document

  5. go to the items section

  6. click the 3 dots

  7. Set meter reading
