How to Apply Maintenance Types on Stock Levels

Once you have created the maintenance types you require and applied them to your product you can begin adding dates to your Stock levels. If you've not yet created maintenance types, or applied them to your product, please see our guide.

Get Started 

As you have now added a maintenance type to your product this will now automatically apply these maintenance types to your stock levels. You can update last maintenance dates to these stock levels to track your maintenance schedule. 

To add maintenance dates to a stock level, navigate to your product overview screen. Products & Services > Products > select a Product and navigate to the stock levels. 

Once you've selected the stock level you would like to add maintenance dates to > navigate to Maintenance Types, see example below:

To begin entering details against the Maintenance Types, click on the maintenance type name and you will come to the following screen which will differ depending on the Period Type of each one. 

Days Lapsed: 

If you have selected the Days Lapsed Period Type, you can enter the date of the last maintenance in here. This will then populate the date for the next maintenance due and provide reminders in the services due screen and on the order as the maintenance is due. 

Note: If you have the maintenance type set to mandatory and the order dates overlap with the next service date or if the equipment has elapsed and is now overdue it will not let you book out the equipment. 

Days Used: 

If you have selected the days used maintenance type, you can populate the following: 

Last Maintenance Usage: You can manually add the current number of usage days before it will require its next maintenance. 

Last Maintenance Date: This is the date the item was last booked into maintenance. 

If you have this maintenance type set to mandatory and the order's chargeable days exceed the days used or if the equipment has elapsed and is now overdue it will not let you book out the equipment. 

Once you have finished entering the information, click the green update maintenance type button. 

When a maintenance is due and you book the item into Unavailable items or onto a Works Order and choose the maintenance type due, it will automatically update these dates and last maintenance usage to the new service date and update the next service date and usage.
