How To Create Maintenance Types

Maintenance types are a list of all of your regular service schedules for your equipment for example a LOLER Certificate, Annual Service or MOT.

You can create an unlimited list of all of your maintenance types and apply multiple maintenance types to specific products.

Creating a Maintenance Type

Navigate to System Setup >  Maintenance Types and select the blue Add Maintenance Type button at the top-right. You will come to the following screen: 

You then need to populate the following details: 

Name: This is the name of your maintenance type for example Annual Service

Code: This is a required field, we advise to match this against your name

Period:

You can select either Days Lapsed or Days Used to determine the method of calculating the maintenance due date. 

  • Days Lapsed - This is for a maintenance type which is based on calendar days that have elapsed after a period of time, for example, an Annual service is based on 12 months. 

  • Days Used - This is for a maintenance type that is based on the chargeable days for the item. This is useful for routine maintenance and meter reading. 

Interval Type:

Your interval type is based on how often you would like the maintenance type to flag up for a maintenance due, it can be Daily, Weekly or Monthly.

Interval:
This is the number that relates back to the interval type to determine the length of the interval for example an annual service with a 12 Monthly interval.

Mandatory: 

  • Yes - If the Maintenance type is set to mandatory and a service is due on the stock level you will receive a warning when adding the item to an order and it will not let the user book the item out and put it on rent without booking it into Unavailable items for a maintenance. 

  • No - if the maintenance type is not set to mandatory you will receive a warning when adding the item to an order and another warning when booking it out however it will let the user put the item on rent. 

Once you've finished entering all of the details click the green Add Maintenance Type button to save the maintenance type. 

Edit & Delete Maintenance Types

To edit maintenance types, head to System Settings > Maintenance Types and select the maintenance type.

You can also delete the maintenance type too. You can only delete them when they haven't been associated to a Product or Unavailable item.
