Scheduled Reports is a powerful feature of OnRent Go which enables you to create a scheduled background job that sends your staff and customers any OnRent Go report, filtered, directly into their inbox.
This can then be opened via a secure, expiring link, which displays the information on a web page.
Getting set up
Head over to system setup > roles, choose your role and click the system setup tab, and enable the privelege "Scheduled Reports". Once done, you can see the Scheduled Reports button in system setup.
Here, you can click in and create your first scheduled report.
Click on the add scheduled report button.
The 3 step wizard allows you to simply follow the processes.
First of all, choose the report you want to send. All reports are supported.
Give the scheduled job a name for example "123 Rentals Whats out Where Report" and add a description if needed.
The active flag lets you disable the scheduled report without deleting it.
You can choose an email template if you have set them up in system setup > email templates.
You can also choose to only send the report when it has results in too.
Once done, on the next tab, you can choose a time the report is sent eg 8am and the relevant time zone (which defaults to your locale). You can also choose the frequency eg daily, weekly, monthly and the respective day of the month.
The same filters that appear on the report appear on this page. For example, on the Whats Out Where report you might want to show a certain product group eg if you deal with a company who only wants to see portable accomodation units.
The date range can be set if needed, including various date options, leave it blank if you don't want to set a date range.
Fill in the account to isolate the results to a specific customer account, important if you are sending them to external companies.
Last of all enter the recipients you want to send it to.
That's it!
The report will automatically email at the given time. You might want to do a test to send it to yourself first to ensure its coming with the right data at the right time.
What does the recipient see?
The email is sent to the recipients as shown below.
Then when the report is viewed, it will open in a web browser where it can be viewed or downloaded as a CSV. This will be viewable for 30 days after it's been sent after which time it will expire.
