How to Set Up Wave AI Copilot?

What is Wave AI Copilot? 🤖

Wave AI Copilot is a chatbot trained exclusively on your company’s internal materials. It works as a personal assistant that:

  • Provides answers within seconds

  • Supports any language

  • Uses only your training materials

  • Does not access external sources

  • Does not generate or invent information

It is a secure and accurate tool that helps employees find the information they need without unnecessary searching or interrupting colleagues.


How to Get Started 📚

To set up Wave, go to the left-hand menu and open the Wave AI Copilot section:

Add the courses that Wave will use to generate responses. Click “Add Content” and select the required courses by checking the box next to each course name.

Once selected, the system will process the materials (this may take from a few seconds to several minutes). After processing is complete, the status will change to “Added”:

In the main content table, you will see the following information:

  • The course uploaded to Wave

  • Number of lessons

  • Folder location

  • Date added

  • Status

📌 Important: Wave does not use external sources and does not generate information beyond your materials. It operates exclusively on the data you upload.

If you update a course, click “Update Course” so Wave can refresh its knowledge and provide the most up-to-date information. To complete this, click the three dots next to the course and select “Update Course”:

If you no longer want Wave to provide answers based on a specific course, you can remove it by clicking the corresponding button:


Main Wave AI Copilot Settings ⚙️

In addition to the Content section, the menu includes three key sections:

🔹 Personalization

Here, you can configure the style of Wave’s responses:

  • Communication style (friendly, professional, humorous, etc.)

  • Response length

You can experiment and choose the tone that best matches your company’s culture.

🔹 Settings

In this section, you control how Wave is available to users:

  • As a chatbot within the system

  • On a separate web page

  • Option to hide Wave during tests and exams

  • Enable more precise answers

  • Configure how sources are displayed to learners

Depending on your needs, simply toggle the required settings on or off:

🔹 Access

In this section, you can choose who will have access to Wave — specific learners or everyone at once. To grant access to all learners, switch the toggle to the appropriate position:

To grant access only to specific learners, enable the toggle and click “Add Learners”:

You can then add learners by entering their email addresses or selecting them from the list. After adding all required learners, click “Add”:

You will be able to see all users who have been granted access in the table. If needed, you can revoke access by selecting the learner and clicking “Delete”:


Chat Statistics 📑

You can view overall statistics on the number of chats and the success rate of Wave’s responses in the “Chats” section. The monthly message limit is displayed in the upper-right corner:

You can also filter statistics by date using the filter option:

To export chat history and review detailed queries and responses, click “Export Chat History” and choose your preferred format:


How Wave AI Copilot Appears to Learners

In the user interface, learners see the Wave icon and can immediately ask a question. For example, “What is open communication?”

Wave analyzes the course materials and generates a response based on them. Learners can:

  • View sources

  • Rate the response

  • Copy the answer

Questions can be asked in any language, and Wave will respond in the language of the query. The language of the content does not matter — the system adapts seamlessly.

If Wave does not have information related to a specific question, it will clearly state this in its response:
