How to Manage Learner Properties & Variables?

In this article, you’ll learn how to set up and organize learner properties and variables: pin important fields, change their order, edit values directly from the learner profile, and quickly navigate between pages for more efficient data management

The Properties & Variables feature allows administrators to easily manage all learner data: view, organize, prioritize important fields, and edit values either in one place or directly from a learner’s profile.

There are two main places in the system where you can manage variables:

  • The Properties & Variables page

  • An individual learner profile


Working with Variables on the “Properties & Variables” Page 📚

To open the Properties & Variables page, go to the Learner & Team Management section and select the corresponding tab:

On this page, you’ll see a table of variables with the following columns:

  • Label — the display name that helps identify the variable

  • Property Name

  • Type

  • Default Value (if not set, -- is displayed)

  • Defined — the number and percentage of learners who have this property filled in

If a property name is too long, hover over it to see the full name in a tooltip.

By default, the system includes:

  • Basic variables — pre-configured and available in your academy

  • Custom variables — created by administrators

To create a new Property, click Create Property:

Then add a Label, select a Property Type and optionally set a Default Value — it will be automatically applied to all learners. Click Create to save:

📎 Available Variable Types:

  • String — a short single-line text (e.g., names, job titles, cities).

  • Paragraph — long multi-line text for detailed input or comments.

  • Number — numeric values (integer or decimal), e.g., phone numbers.

  • Markdown String — text with Markdown formatting (bold, italic, links, lists).

  • Select — a single value from a predefined list of options; helps standardize data and reduce input errors.

  • HTML — custom HTML code rendered directly in content; useful for advanced formatting or embedded media

You can collect data for variables in several ways:

  • Import via a CSV file

  • Collect through a welcome pop-up

  • Gather via quizzes

  • Add manually in a learner’s profile

To view all learner data for a specific property, click on the property name or the Open button:

You can edit or add values for a specific learner by clicking the pencil icon or selecting the corresponding row:

After entering a value, click Save to apply changes:

To edit or delete a property click the three dots menu and select the appropriate action:


Managing Properies⚙️

Administrators can organize properies so that the most important ones are always visible by pinning them. To manage them, click Manage Properties:

By default, if no properties are pinned, 5 properties are displayed. You can reorder variables by dragging them up or down in the list:

To pin a property, click the pin icon:

Pinned properties always appear at the top and cannot be reordered below unpinned properties.


Working with Properties in a Learner Profile 📇

In addition to the main page, properties are also available in each learner’s profile, where you can manage them directly.

Up to 5 properties are shown in the profile:

  • Pinned properties always appear first

  • If there are fewer than 5 pinned properties, the list is filled with unpinned ones

  • The order is defined by the administrator

To edit properly values open a learner profile and click Manage Properties:

Enter the required value and click Save:

You can also navigate to the full properties page by clicking Go to Properties page (opens in a new tab):
