Step 1: Set up your accounts
In Aimy, there are two types of accounts and logins:
Salon account – This is the account used inside the salon.
Business account – This account has all permissions and management options.
To adjust this, go to Account > Business and edit the accounts there.
Example:
Salon account: company@meetaimy.com
Business account: beauty@meetaimy.com
Step 2: Add staff members
Go to Account > Profile > Staff and click Add staff member.
Enter at least a name, email address (can be fictitious), and password.
💡 Tip: Add a profile photo to make your calendar more personal.
Step 3: Add availability (schedules)
There are two types of availability:
Calendar availability
Work schedule
3.1 Calendar availability:
This defines your bookable hours. For example, you can make treatments bookable from 10:00 to 18:00, while your salon may already be open from 09:00 to 19:00 for admin or prep work. No appointments can be booked during those extra non-bookable times.
You can adjust this easily via Account > Profile: Calendar times.
3.2 Work schedule availability:
⚠️ Important: First, add your staff as described in Step 2.
In the schedule availability, you define the times when appointments can be booked (e.g., via online widget, WhatsApp, or manually in the calendar).
Add availability via Account > Availability > New, then click on a staff member and select Fixed schedule.
Note:
A start date is required, but an end date is optional.
Availability can be set per day.
Optionally, you can add breaks, which will appear directly in the calendar (and can be moved around).
For alternating weeks, choose bi-weekly to set up even and odd week schedules.
Important to know:
Fixed schedules cannot be edited later; they must be recreated.
You can also add extra working days/hours (e.g., for occasional late-night openings).
Absence due to sickness or leave can also be managed here.
3.3 Additional calendar settings:
Under Account > Profile, there are optional calendar settings such as:
Appointment color: based on staff or service preference
Calendar view: week or day view
Calendar interval: 5 | 10 | 15 minutes

Step 4: Add treatments (services)
Aimy distinguishes between:
Single services (e.g., Haircut)
Combination services (e.g., Wash & Cut)
Think carefully whether you want to create single services, combination services, or both — this makes scheduling much easier! 💇♀️✨
Before adding services, you first need to create categories.
Create categories – via Account > Profile > Services > Add category.
Use clear names; these will appear in the booking widget.💡 Tip: The categories you create are visible in the booking widget. Choose appealing and clear names to help clients find the right treatment easily! ✨
Add services – via Add service.
Fill in name, price, VAT, duration, processing time, category, and color.📖 Want more details? Read our support article: Adding single and combination services.
Create combination services – first add single services, then select Add combo service.
Title – Name of the combination, visible in calendar and widget.
Price – Price of the treatment (can be adjusted later at checkout).
Staff member(s) – Choose who can perform the service (multiple possible).
Add service – Select the individual treatments that make up the combo.
Appointment color – Choose a color for easy overview.
Description – Short explanation, visible in the widget.
Link services to staff (enable/disable services)
Before treatments can be booked online, link them to staff members via Account > Profile > On/Off.Column 1: Visible in the calendar
Column 2: Visible in the online booking widget
To switch staff, click the icon next to Services overview and select the correct team member.
Step 5: Enable automatic notifications (default notifications)
Think of email and/or WhatsApp appointment confirmations, reminders, birthdays, etc.
You can configure these under Settings > Notifications.

Would you like to receive email confirmations yourself for new bookings?
Go to Account > Profile > Top right corner > Edit > Scroll down and check Copy of confirmation.
✨ Start using your calendar
After completing steps 1 through 5, you’re ready to start using your calendar!
To create an appointment, click on a day in the calendar and fill out the appointment details under the “Appointment” tab.
