Publishing your finished schedule and sending rotas

Planning and putting together a working schedule take time, and you may want to make changes to the schedule multiple times. Every time you edit a shift, it becomes unpublished. Unpublished shifts are not visible to staff and they do not get any notification.

This ensures that the shifts are only published when ready. To make the shift visible to staff, you have to publish it. Shifts can be published individually or all in one go. Unpublished shifts only have a coloured border, whereas, published shifts appear in full colour.

Publishing Shifts individually

To publish shifts individually:

1. Hover over a shift and tick the checkbox to select the shift.

2. A “selected” button will appear at the top. Click on the button and select “publish”.

3. In the third step, select the criteria. Only staff matching these criteria will get the notification. Click on next.

4. Now select the notification types email, push notifications, or SMS. Click on finish to complete the process. Staff will get the notification.

Publish Shifts to all staff in one go

To publish the schedule to all staff:

1. Click on “publish & send” and select publish. A dialogue box will appear.

2. Select whether you want to publish all shifts, open shifts, or assigned shifts only. Click “Next”.

3. Select sites. You can include staff from all sites, or you can select specific sites.

4. In the third step, select the criteria. Only staff matching these criteria will get the notification. Click on next.

5. Now select the notification types email, push notifications, or SMS. Click on finish to complete the process. Staff will get the notification.
