Most of the data in the timesheet is self-explanatory, but to make sure you understand everything, we will explain the details of the timesheets.
Timesheets are grouped by week. Each row shows the shift overview based on the staff name and position criteria.
In the date box, Start defines the shift start time and End defines the shift end time. The hrs. define the total hours worked.
At the bottom-right of each week, you can see the total weekly hours and total weekly pay rate. Total weekly hour defines the total hours worked this week. The total weekly pay rate defines the total pay for the staff this week.
At the end of the timesheet lists, total hours and total pay rate depend on the timesheets visible in the view. Timesheet data visibility depends on the date range and search filters selected above.
Timesheet detail view
To view timesheet details, click on the hours in the date box. A dialogue box will appear with timesheet details and activity logs. We have divided the view into 3 sections β Basic Details, Working Hours, and Activity Logs.
1. Basic Details
The first section of the detail view gives you information about the client, business unit, position, date, bill rate, pay rate, and notes if any.
2. Working hours
Gives you an overview of the working hours schedule, time clock, and actual.
Schedule are the working hours scheduled.
Time Clock are the recorded hours when the staff started and ended the shift.
Actual are the same as the time clock unless the supervisor or the staff has amended the timesheet and the supervisor has approved it.
Bill Rate: Price invoiced/billed to the client.
Pay Rate: Staff rate for this shift.
3. Activity logs
Every action performed on the timesheet is logged. Activity logs do not only tell you about the activity, but they also tell you about the time, the user, and the device used. After completing the shift, when staff requests an edit to the timesheet, it will appear under activity logs with an approved button.
Clicking on the Approved button will approve the changes requested by the staff. The actual working hours row will show the start and end times confirmed by the supervisor.
Timesheet Modified Requested: When staff requests an edit to the timesheet.
Staff Approval Changed from Pending to Amend: Activity log, indicating that the staff has requested timesheet amendment.
Staff Approval Changed from Amend to Approved: Activity log, indicating that the timesheet amendment request has been approved by the supervisor.
