Automatic group chats: how membership is decided, and why somebody is missing

Automatic group chats take their members from an audience, based on location and job-title role. Membership refreshes on a schedule rather than instantly, which is why a change can take up to a day to appear.

An automatic group chat works out its own members from an audience — normally a location and a job title — instead of you picking people by hand. 💬


Two kinds of group chat

  • Manual — you choose the members, and you add and remove people yourself

  • Automatic — All Gravy fills it from an audience. People join when they match and drop out when they stop matching, with nobody maintaining a list

Use automatic groups for anything that should survive staff turnover: "All chefs at Camden", "Every general manager". Use manual groups for a one-off project team.


Membership follows the job title, not the permission level

This is the single most common mix-up, so it is worth being exact.

An automatic group matches on the role — the job title tag on somebody's People record. It does not match on their permission level.

So giving somebody the Manager permission will not put them into a "Managers" group chat. They need the Manager role on their People record. The two are separate settings that happen to share a word.


Why somebody is not in the group yet

Automatic membership refreshes on a schedule, not the instant you make a change. If you have just moved somebody between locations or changed their job title, they will not appear straight away.

  • If your account is connected to a workforce management system, allow up to about an hour

  • If it is not connected to one, the audience refreshes overnight, so allow up to a day

Two things do apply immediately: an admin creating the group, and an admin editing it. If you need somebody in there now, open the group and save it.


Checklist when somebody is missing

  1. Check their role on their People record, not their permission

  2. Check their location matches the group's audience

  3. Check they have actually signed in. Somebody still on Invited has no user account yet

  4. If all three are right, wait for the refresh above, or open and save the group to force it


Who can set one up

Admins, Editors and Managers can set up an automatic group chat. Employees can create manual group chats only.
