This trips people up more than anything else in account setup, so it is worth stating plainly. 🏷️
Roles are labels. They grant no access at all.
The Roles list under Directory is a set of job-title tags: Chef, Bartender, Duty Manager, and so on. You use them to:
filter lists of people
target an audience — who receives a feed, a course, a survey, a report or a to-do list
Giving someone the role "Duty Manager" does not let them do anything they could not do before. It only describes them.
Permissions are what actually grant access
What someone can see and change is controlled separately, by their permission level — Admin, Creator, Staff Manager and so on. If a person cannot reach something they should, the answer is almost always their permission level, not their role.
⚠️ Deleting a role strips it from everybody
A role is a shared tag, not a per-person setting. Delete it and it is removed from every employee who had it, in one go.
That matters because roles drive targeting. If a feed, course or to-do list was aimed at a role you delete, its audience empties out and people quietly stop receiving things.
Before deleting a role, check what targets it. Rename instead of deleting where you can.
Rules of thumb
"They cannot see the admin area" → permission level, not role
"They are not getting this course" → role and location targeting
"Their job title is wrong" → role, or the job title field on their profile
