How do I assign workflows to a group of users (Team)?

Use Team Assignments in ANVL Insights when the same workflow needs to be assigned to a defined group of people instead of assigning it one person at a time.

This is useful for shifts, crews, departments, and audit teams. To create a Team Assignment, first create the Team, then assign the workflow to that team through Assignments or Schedules.

When you assign to a team, Everyone Completes applies. Each team member receives their own assignment and must complete it individually.


Steps

Create the Team

  1. Open ANVL Insights.

  2. Go to Users.

  3. Select Teams.

  4. Select Add Team.

  5. Enter the Team Name.

  6. Add the users you want included in the team.

  7. Save the team.

Create a one-time Team Assignment

  1. Go to Assignments.

  2. Select Create Assignment.

  3. Select the workflow you want to assign.

  4. In the assignee section, choose Team instead of individual users.

  5. Select the team.

  6. Add a due date if needed.

  7. Add a message or instructions if needed.

  8. Select Create Assignment.

Create a scheduled Team Assignment

  1. Go to Assignments.

  2. Select Manage Schedules.

  3. Create a new schedule.

  4. Select the workflow.

  5. Choose Team as the assignee type.

  6. Select the team.

  7. Configure the schedule details, such as frequency and timing.

  8. Save the schedule.

Additional Details

  • Team Assignments are best for recurring inspections, daily safety checks, layered process audits, and standardized team-based work.

  • Team Assignments are not shared completion. The assignment is created for each team member, and each person must complete their own workflow.

  • In Frontline Operations (ANVL Workflows), team members can see the team indicator, the team name, and that Everyone Completes applies.

  • You can manage existing teams by opening Users > Teams and modifying or deactivating the team as needed.
