Common Questions on your employee tab and management

Q. How do I add an employee profile?

A. On your ‘Employee’ tab, In the upper left corner, locate and click on the option "ADD A NEW USER."

Q. How do I put an employee on orientation?

A. While adding your new employees' profile, enable the "Orientee" button at the bottom and specify the orientation start and end dates then click save.

You can also edit an existing profile to add, edit or delete orientation at any time the same way.

Q. How do I view all shifts of a specific employee for the next three months?

A. On the employee’s tab, find the employee you are looking for, then navigate to the right side and select the "Shifts" button to view the complete list of their scheduled shifts.

You can also view historic shift history here as well.

Q. How do I put someone on leave?

A. In the employees’ section, find the employee going on leave.

Go to the right side and choose the "leave" option.

This will direct you to another page where you can click on "add dates" to enter the relevant date information, reason for the leave, and the individual who approved it.

Q. How do I terminate an employee / user?

A. Within the employee’s tab, go to the right side and click on the trash icon. You will be presented with two options:

1. Archive now, use this option for an immediate termination

2. Schedule archive, this option is for an employee termination scheduled for a future date

Q. How do I make an edit on an employee profile?

A. In the employee’s tab, locate the profile icon on the right side and click on it. This will allow you to make any necessary changes to the employee's profile.

Q. How do I add agency staff?

A. To add agency staff, click on the "ADD A NEW USER" option in the upper left corner. Then, under the "Staff Type" category, select the correct agency they belong to from the available options.

Q. How do I add “other staff” employee profiles and schedules?

A. In the 'Employee' tab, find and click on the "ADD A NEW USER" option situated in the upper left corner. Choose the appropriate position and enter their schedules. After completing this step, they will be automatically included in the daily schedule at the bottom, and they will be calculated in the overall HPPD (hours per patient day) number.

Q. How do I create a master schedule for new employees?

A. To create a schedule for employees, follow these steps:

1. Navigate to the 'Employee' tab

2. In the upper left corner of the page, locate and click on the option labeled "ADD A NEW USER."

3. Fill in all the necessary information for the employee in their profile, ensuring accuracy.

4. After providing the required details, click on the "ADD" button. This action will automatically redirect you to a new page where you can add the employee's schedule.

5. On the new page, input the employee's working hours, shifts, and assigned units.

6. If the shifts and units are the same for multiple days, you can easily copy and paste the shifts to the appropriate days. Hover over the two square icons, and you should see a tooltip saying, "copy shift to another day." Click on that icon and paste it onto the desired days. To create a double shift for an employee, click on the plus icon, and it will allow you to duplicate the shift.

Q. How do I input future call outs?

A.

1. Access the employees' section and locate the employee you want to schedule a call out for.

2. On the right side of the employee's profile, select the "Shifts" option.

3. This action will take you to a separate page where you can manage the employees' shifts.

4. On this page, you will find the shift you are looking for and the "call out" icon associated. Click on it.

5. It will now ask you to provide the reason or details for the call out.

6. Fill in the necessary information for the future call out and save the changes.

7. Once saved, the employee will be included in the daily schedule for that day, reflecting their call out status.

Q. How can I add an employee's shift pickup?

A. To add an employee to the daily schedule, you have two methods available.

Firstly, you can click on the plus icon to add an employee directly on the daily schedule.

Alternatively, you can navigate to the employees' section and locate the employee you wish to schedule.

On the employee's profile, choose the "Shifts" option located on the right side. This action will redirect you to a separate page where you can manage the employees’ shifts. On this page, you will find an icon labeled "please select your dates." Clicking on it will display a calendar.

You can select the desired day that the employee wants to be scheduled for, or you have the option to add multiple days/shifts and provide the corresponding shift information. After making the necessary selections, click 'apply' to save the changes. As a result, the employee will be included in the daily schedule for the specified day(s).

Q. How do I add a float employee?

A. When setting up an employee profile, after entering all the required information, select the "ADD" button. This will automatically direct you to a new page where you can input the employee's schedule.

On this page, when assigning a unit, choose the "float" option.

Once you save the changes, the employee will be included in the daily schedule for that specific day, and you will have the option to assign them to a unit on that day.

Q. How do I add a PRN employee?

A. In the 'Employee' tab, find and click on the "ADD A NEW USER" option situated in the upper left corner. Choose the appropriate position, and by “Employment type” select “PRN”.

Q. How do I add a Nurse that works as direct care floor nurse and a supervisor?

A. This employee would need two profiles.

The first profile should be created for a regular RN/LPN position, and their schedule should be added accordingly. The second profile should be created for an RN/LPN supervisor position, as a PRN employee available for shift Pickups.

Whichever position is their primary position, that is the one you will create as Full-Time with a master rotation and the secondary profile as a PRN employee.
