Welcome to Avaana! This guide will walk you through the essential steps to manage a new booking from start to finish.
Step 1: Locate Your New Booking
Navigate to the Bookings tab in your Avaana dashboard.
Select WorkCover Bookings to view all relevant appointments.
Find the new booking in the list view. Click on it to open the Booking Details page.
Step 2: Manage the Appointment Status
Upon opening the booking, you will see its status is automatically set to Confirmed.
On the day of the appointment, a button to Mark as Attended will become visible on the booking details page.
After the session is complete, click Mark as Attended.
Step 3: Post-Appointment Actions
Once a booking is marked as attended, two new options will appear:
Case Note Submission: Click this to add your notes and relevant documentation for the session.
Subsequent Booking: Use this option to schedule the claimant's next appointment.
Handling Online (Telehealth) Bookings
For appointments conducted online, follow these additional steps:
On the booking details page, a Go to Meeting button will be displayed, this will be active on the day of appointment.
Clicking this button will take you directly to the Whereby video call page, where you will enter as the host (Please provide the access to camera and mic for Whereby).
The claimant will receive a separate guest link to join the same call.
When the claimant joins the virtual waiting room, simply click the Accept button to let them into the meeting.
A Note on Email Notifications
For every booking, automated emails are sent to both you and the claimant. These emails contain:
Complete appointment details (date, time, etc.).
A unique Whereby link to join the session, if it is a telehealth booking.
