My Preferred Booking Time Isn’t Available on My Avaana Calendar — What Should I Do?

Written by Avaana Team

⚠️ Important: The requests outlined below can only be completed through the owner’s account and cannot be performed from a practitioner’s personal account.

If you’re trying to add a subsequent booking and the desired time is unavailable to select, or if your schedule appears as closed for a day that should be open, there are a few settings you should review first.

1. Check the Practitioner’s Availability

Start by reviewing the practitioner’s personal work schedule in their Avaana profile.

  1. In the left-hand menu, go to Practitioners

  2. Select the practitioner’s name

  3. Under Availability on the left side, check whether Custom Availability in Avaana is enabled

  4. If enabled, review the manually entered work schedule

Make sure the schedule is accurate, up to date, and includes the time you are trying to book for the claimant.

2. Check the Clinic Opening Hours

If the practitioner’s availability looks correct but the booking time is still unavailable, check your clinic’s opening hours.

  1. In the left-hand menu, go to Opening Hours

  2. Confirm that the clinic opening hours match the practitioner’s working hours

For example, if a practitioner works from 8:00 AM to 6:00 PM on Fridays, the clinic opening hours must also include that timeframe.

Clinic opening hours override practitioner availability. If the clinic is marked as closed, opens later, or closes earlier than the practitioner’s schedule, booking times will not appear as available.
